1 G ETTING S TARTED Thank you for purchasing this multifunctional product. Y our machine provides you with printing, copying, scanning, and faxing functions! This chapter gives you step-by -step instructions for setting up your machine.
G ETTING S TARTED 1.2 Setting Up Your Machine Unpacking Remo ve the machine and all accessories from the packing carton. Make sure that the machine has been packed with the following items.
G ETTING S TARTED 1.3 1 N OTES : • Y ou should use the telephone line cord which is supplied with your machine. If you are replacing it with another vendor’s, it should be AWG #26 or larger telephone line cord. • The power cord must be plugged into a grounded power socket.

G ETTING S TARTED 1.5 1 Selecting a Location Select a level, stable place with adequate space for air circulation. Allow extr a space for opening covers and tr ays. The area should be well-v entilated and away from direct sunlight or sources of heat, cold and humidit y .

G ETTING S TARTED 1.8 4 F A X Allows you to select the fax receiving mode. • Allows you to store frequently-dialed fax numbers using a one or two-digit speed dial or group number for automatic dialing and edit the stored numbers. • Allows you to print a Phone book list.
G ETTING S TARTED 1.9 1 Attaching Accessories Document Output Support Insert the two tabs on the supplied document output support into the slots on both sides of the paper output tr ay .
G ETTING S TARTED 1.10 Handset and Handset Cradle ( for America only) 1 Plug the end of the coiled cord of the handset into the jack on the left side of your machine. 2 Holding the cr adle as shown, attach the handset cr adle to the machine. ➀ I nsert the two tabs of the cradle into the slots on the left side of the machine as shown.
G ETTING S TARTED 1.11 1 Installing the Toner Cartridge 1 Open the front cov er . 2 R emove the starter toner cartridge from its bag. Gently roll the cartridge 5 or 6 times to distribute the toner ev enly inside the cartridge. Thoroughly rolling the cartridge will assure the maximum copies per cartridge.
G ETTING S TARTED 1.12 3 Slide the toner cartridge into the machine until it locks into place completely . 4 Close the front cov er . Make sure that the cov er is securely closed.
G ETTING S TARTED 1.13 1 Loading Paper Y ou can load approximately 250 sheets. T o load a stack of Letter-siz ed paper: 1 Pull open the paper tr ay and remove it from the machine. 2 Push down on the pressure plate until it locks into place. 3 F an the edges of the paper stack to separate the pages.
G ETTING S TARTED 1.14 4 Insert the paper stack into the paper tr ay with the side you want to print facing up . N OTE : If you want to load a different size of paper , you need to adjust the paper guides. For details, see page 1.15. 5 P ay attention to the paper limit mark on the left inside w all of the tra y .
G ETTING S TARTED 1.15 1 Changing the Paper Size in the Paper Tray T o load longer sizes of paper , such as Legal-siz ed paper , you need to adjust the paper guides to extend the paper tr ay . 1 After pressing and unlatching the guide lock, slide the paper length guide out completely to extend the paper tr ay to its full length.
G ETTING S TARTED 1.16 3 Pinching the paper width guide as shown, mo ve it toward the stack of paper until it lightly touches the side of the stack. N OTES : • Do not push the paper width guide far enough to cause the materials to warp. • If you do not adjust the paper width guide, it may cause paper jams.
G ETTING S TARTED 1.17 1 N OTE : In the United Kingdom, if a three- wire type (SHUNT - wire, older equipment) telephone or answering machine is connected to the EXT jack on the machine, the external equipment will fail to ring when receiving an incoming call as the machine is designed to operate with the latest technology .
G ETTING S TARTED 1.18 Connecting to your computer (for MFP model only) Plug the USB printer cable into the connector on the back of the printer . Y ou must use a USB 1.
G ETTING S TARTED 1.19 1 Turning the Machine On 1 Plug one end of the supplied three-pronged electrical t ype cord into the AC socket on the machine and the other end into a properly grounded AC outlet. 2 Press the power switch to turn the machine on.
G ETTING S TARTED 1.20 Installing Software About Software (for MFP model only) Y ou must install softw are using the supplied CD-ROM after y ou have set up y our machine and connected it to y our computer .
G ETTING S TARTED 1.21 1 Printer Driver Features Y our printer drivers support the following standard features: • P aper source selection • P aper size, orientation and media type • number of copies The following table lists a gener al overview of features supported by your printer driv ers.
G ETTING S TARTED 1.22 Installing Software in Windows (for MFP model only) System Requirements Before you begin, ensure that your system meets the minimum requirements.
G ETTING S TARTED 1.23 1 Installing Software in windows N OTES : • Cancel the “ New Hardware Found ” window when your computer boots up. • Make sure that your machine is turned on and connected to your computer’s par allel port or USB port before installing software .
G ETTING S TARTED 1.24 2 Choose the installation type. • Typical : Installs the common softw are for your printer , such as printer driv er , T wain driver , Remote Control Panel. This is recommeded for most users. • Custom : Allows you to choose the language of softw are and the components you want to install.
G ETTING S TARTED 1.25 1 5 Click Finish . N OTES : • When you want to use your machine with the par allel cable, remove the USB cable and connect the parallel cable. Then reinstall the printer driver; select Start → Programs → Type 1200 → Maintenance → Repair → Printer .
G ETTING S TARTED 1.26 N OTES : If your machine is not connected to the computer , the following window will appear . • After connecting the machine, click Next . • If you want to skip the connection status, click Next, and No to the following screen.
G ETTING S TARTED 1.27 1 Removing Software (for MFP model only) Uninstall is required if you are upgr ading software or if your installation fails. 1 Y ou can select Start → Programs → Type 1200 → Maintenance . Otherwise, insert the supplied CD-ROM into y our CD-ROM drive.
G ETTING S TARTED 1.28 Setting Up the Machine System Changing the Display Language T o change the language that displays on the displa y of the control panel, follow these steps: 1 Press Menu until “Machine Setup” appears on the top line of the display .
G ETTING S TARTED 1.29 1 Setting the Machine ID In some countries, y ou are required b y law to indicate your fax number on any fax y ou send. The Machine ID , containing your telephone number and name or compan y name, will be printed at the top of each page sent from y our machine.
G ETTING S TARTED 1.30 Entering Characters Using the Number Keypad As you perform v arious tasks, you need to enter names and numbers. F or example, when you set up y our machine, you enter your name or y our company’ s name and telephone number .
G ETTING S TARTED 1.31 1 Keypad Letters and Numbers Changing Numbers or Names If y ou mak e a mistake while entering a number or name, press the button to delete the last digit or char acter .
G ETTING S TARTED 1.32 Setting the Date and Time The current date and time are shown on the displa y when your machine is on and ready to work. All of y our fax es will have the date and time printed on them. N OTE : If power to the machine is cut off , you need to reset the correct time and date once the power is restored.
G ETTING S TARTED 1.33 1 Changing the Clock Mode Y ou can set your machine to displa y the current time using either 12-hour or 24-hour format. 1 Press Menu until “Machine Setup” appears on the top line of the display . 2 Press the scroll button ( or ) until you see “Clock Mode” on the bottom line and press Enter .
G ETTING S TARTED 1.34 Setting Sounds Y ou can control the following sounds: • Ringer: Y ou can adjust the ringer volume. • K ey Sound: With this option set to “On, ” a key tone sounds each time any k ey is pressed. • Alarm Sound: Y ou can turn the alarm sound on or off .
G ETTING S TARTED 1.35 1 Speaker Volume T o adjust the volume using the On Hook Dial button: 1 Press On Hook Dial . A dial tone sounds from the speak er . 2 Press the scroll button ( or ) until you hear the loudness you w ant. The display shows the current v olume level.
G ETTING S TARTED 1.36 Using the Save Mode Power Save Mode P ower Save mode allows y our machine to reduce power consumption when it is not in actual use. Y ou can turn this mode on by selecting the length of time for which the machine w aits after a job is printed before it switches to a reduced power state.
2 P APER H ANDLING This chapter introduces you to the basics of selecting print materials and loading them into your machine. This chapter includes: • Selecting Print Materials • Selecting an Outp.
P APER H ANDLING 2.2 Selecting Print Materials Y ou can print on a v ariety of print materials, such as plain paper , envelopes, labels, *transparencies* and so on. Alw ays use print materials that meet the guidelines for use with this machine. See “P aper Specification” on page A.
P APER H ANDLING 2.3 2 Guidelines for Paper and Special Materials When selecting or loading paper , envelopes, or other special material, keep these guidelines in mind: • Always use paper and other materials that conform with the specifications listed under “P aper Specification” on page A.
P APER H ANDLING 2.4 - T o av oid smudging caused by fingerprints, handle them and coated paper carefully . - T o avoid fading, do not expose the printed tr ansparencies to prolonged sunlight. • F or labels(for MFP model only): - V erify that their adhesive material can toler ate fusing temperature of 200 o C (392 o F) for 0.
P APER H ANDLING 2.5 2 Printing to the Front Output Tray (Face down) The front output tr ay collects printed paper face-down in correct order . The tray should be used for most print jobs. Printing to the Rear Output Slot (Face up) Using the rear output slot, paper comes out of the machine face up.
P APER H ANDLING 2.6 T o use the rear output slot: 1 Open the rear cov er by pulling it upward. W ARNING : The fusing area inside the rear part of your machine becomes hot once the machine is turned on. Be careful when you access this area. 2 If you do not w ant to use the rear output slot, close the rear cover .
P APER H ANDLING 2.7 2 Loading Paper in the Paper Tray The paper tray can hold a maximum of 250 sheets of 20 lb plain paper . For faxing and copying, y ou can use A4-, Letter- or Legal- sized paper only . For PC -printing, you can use many different sizes of paper; see page A.
P APER H ANDLING 2.8 Using the Manual Feeder Use the manual feeder to print transparencies, labels, en velopes or postcards in addition to making quick runs of paper t ypes or sizes that are not currently loaded in the paper tr ay . P ostcards, 3.5 by 5.
P APER H ANDLING 2.9 2 2 Adjust the paper guide to the width of the print material. N OTE : When printing on previously printed paper from the manual feeder , the printed side should be facing down with an uncurled edge to the machine. If you experience problems with paper feed, turn the paper around.
P APER H ANDLING 2.10 Setting the Paper Type and Size for the Manual Feeder After loading paper in the manual feeder , you need to set the correct paper type and siz e using the control panel buttons. These settings will apply to Copy mode. F or PC-printing, y ou need to select the paper size in the application program y ou use.

C OPYING 3.2 Loading Paper for Copying The instructions for loading print materials are the same whether you are printing, faxing or cop ying. F or coping, y ou can use Letter-, A4-, Legal-sized print materials. F or further details, see page 1.13 for loading in the paper tr ay and page 2.
C OPYING 3.3 3 Making a Copy 1 Pull the document support all the w ay out. F old out the extender , if necessary . 2 Load the documents up to 20 pages face down into the ADF .
C OPYING 3.4 Setting Copy Options The buttons on the control panel let you make all the basic copy options; darkness, document type, cop y size and number of copies. Set the following options for the current cop y job before pressing Start to make copies.
C OPYING 3.5 3 Original Type The image setting is used to impro ve the copy quality by selecting the document for the current cop y job. T o select the document type, press Original T ype . Each time you press the button, the LED labeled with the selected mode turns on.
C OPYING 3.6 Reduced/Enlarged Copying Using the Reduce/Enlarge button, y ou can reduce or enlarge the size of a copied image from 50% to 150%. T o select from the predefined copy sizes: 1 Press Reduce/Enlarge . The default setting appears on the bottom line of the display .
C OPYING 3.7 3 Changing the Default Settings Copy options, including darkness, image, copy size and number of copies, can be set to the most frequently used modes. When you copy a document, the default settings are used unless they are changed by using the corresponding buttons on the control panel.
C OPYING 3.8 Setting the Time Out Option Y ou can set the time the machine w aits before it restores the default copy settings, if you do not start copying after changing them on the control panel. 1 Press Menu on the control panel until “ Copy Setup” appears on the top line of the displa y .
4 F AXING This chapter gives you information about using y our machine as a fax machine. This chapter includes: • Sending a Fax • Receiving a Fax • Automatic Dialing • Advanced Fax Functions .
F AXING 4.2 Sending a Fax Changing the Fax Setup options 1 Press Menu until “F ax Setup” appears on the top line of the display . The first available menu item, “Ring T o Answer, ” displays on the bottom line. 2 Press the scroll button ( or ) until the menu item you want on the bottom line and press Enter .
F AXING 4.3 4 Available Fax Setup Options Y ou can use the following setup options for configuring the fax system: Option Description Ring T o Answer Y ou can specify the number of times the machine rings, 1 to 7, before answering an incoming call. Darkness Y ou can select the default darkness mode to fax your documents lighter or darker .
F AXING 4.4 Discard Size When receiving a document as long as longer than the paper installed in y our machine, you can set the machine to discard any excess at the bottom of the page. If the received page is outside the margin you set, it will print on two sheets of paper at the actual size.
F AXING 4.5 4 1 Pull the document input support all the w ay out. F old out the extender , if necessary . 2 Load the documents up to 20 pages face down into the ADF and adjust the document guides to the document siz e. F or detailed guidelines for preparing an original document, see page 3.
F AXING 4.6 Adjusting the Document Resolution The default document settings produce good results when setting typical text based documents. However , if you send documents that are of a poor qualit y , or contain photogr aphs, you can adjust the resolution to produce a higher quality fax.
F AXING 4.7 4 Sending a Fax Automatically 1 Load the document(s) face down into the ADF . F or details about loading a document, see page 4.5. 2 Adjust the document resolution to suit y our fax needs. See page 4.6. If you need to change the darkness, see page 4.

F AXING 4.9 4 Confirming Transmission When the last page of your document has been sent successfully , the machine beeps and returns to Standby Mode. When something goes wrong while sending y our fax, an error message appears on the display . For a listing of error messages and their meanings, see page 8.
F AXING 4.10 Receiving a Fax About Receiving Modes • In Fax mode, the machine answers an incoming fax call and immediately goes into the fax reception mode.
F AXING 4.11 4 Loading Paper for Receiving Faxes The instructions for loading paper in the paper tr ay are the same whether you are printing, faxing, or cop ying, except that fax es can only be printed on Letter -, A4- or Legal-sized plain paper . F AXING 4.12 Receiving Automatically in Ans/Fax Mode For using this mode, y ou must attach an answering machine to the EXT jack on the back of y our machine. See page 1.16. 1 Press Receive Mode . 2 Press and hold R eceive Mode until “Ans/F ax” displays on the bottom line.
F AXING 4.13 4 Receiving Manually Using Remote Receive Start Code Y ou can receive a fax from someone y ou are talking to on the extension telephone without going to the fax machine. When you receiv e a call on the extension phone and hear fax tones, press the keys 9 on the extension telephone.
F AXING 4.14 T o set up the DRPD mode: 1 Press Menu until “F ax Setup ” appears on the top line of the display . The first av ailable menu item, “R eceive Mode, ” displays on the bottom line. 2 Press the scroll button ( ➛ or ❿ ) until you see “DRPD Mode ” on the bottom line and press Enter .
F AXING 4.15 4 Automatic Dialing One-touch Dialing The 20 one-touch buttons on the control panel lets y ou store frequently -used fax numbers and dial a number automatically with a touch of a button. Storing a Number for One-touch Dialing 1 Press and hold one of the one-touch dial buttons for about 2 seconds.
F AXING 4.16 Sending a Fax using a One-touch Number 1 Load the document(s) face down into the ADF . For details about loading a document, see page 4.5. 2 Adjust the document resolution to suit y our fax needs. See page 4.6. If you need to change the darkness, see page 4.
F AXING 4.17 4 5 Enter the number you w ant to store using the number keypad and press Enter . T o insert a pause between numbers, press Redial/Pause . A symbol “-” appears on the displa y . 6 T o assign a name to the number , enter the name y ou want.
F AXING 4.18 Group Dialing If you frequently send the same document to sev eral destinations, you can create a group of these destinations and set them under a one or two-digit group dial location. This enables you to use a group dial number setting to send the same document to all the destinations in the group .
F AXING 4.19 4 10 T o assign a name to the group , enter the name. OR If you do not w ant to assign a name, skip this step. 11 Press Enter when the name appears correctly or without entering a name. 12 If you want to assign another group , press Enter and repeat from step 5.
F AXING 4.20 8 Press Enter to add or delete the number . 9 T o change the group name, press Upper Level . 10 Enter a new group name and press Enter . 11 If you want to edit another group , press Enter and repeat from step 5. OR T o return to Standby mode, press Clear/Stop .
F AXING 4.21 4 Searching Sequentially through the Memory 1 Press Phone Book . 2 Press Enter when “Search&Dial” appears on the displa y . 3 Press the scroll button ( or ) to scroll through the memory until the name and number y ou want to dial display .
F AXING 4.22 Advanced Fax Functions Sending Broadcasting Faxes Using the Broadcasting button on the control panel, y ou can use the broadcasting fax feature, which allows y ou to send a document to multiple locations. Documents are automatically stored in the memory and sent to a remote station.
F AXING 4.23 4 7 When you finish entering fax numbers, press 2 to select “No” at a Another No. prompt. The document is scanned into the memory before transmission. The displa y shows the memory capacity and the number of pages being stored in the memory .
F AXING 4.24 7 T o enter more fax numbers, press 1 to select “ Y es” and repeat steps 4 and 5. Y ou can add up to 10 destinations. Note that you cannot use group dial numbers for another fax number . 8 When you finish entering fax numbers, press 2 to select “No ” at a Another No.
F AXING 4.25 4 Sending a Priority Fax Using the Priority F ax feature, a high priority document can be sent ahead of reserved oper ations. The document is scanned into the memory and tr ansmitted when the current oper ation is finished. In addition, the priorit y transmission interrupts a broadcast oper ation between stations (i.
F AXING 4.26 Polling a Remote Machine P olling is used when one fax machine requests another to send a document. This is useful when the person with the original document to be sent is not in the office. The person who w ants to receive the document calls the machine holding it and requests that the document be sent.
F AXING 4.27 4 T o select “AM” or “PM” for 12-hour format, press the or button or any number button. If you set a time earlier than the current time, y our machine will poll at that time on the following da y . 8 When the remote machine is secured with a 4-digit poll code, enter the correct code and press Enter .
F AXING 4.28 The machine automatically stores the documents in the memory , and the display shows the memory capacity and the number of pages. After storing, the machine displa ys the numbers of total pages and added pages and then returns to Standb y mode.
F AXING 4.29 4 Additional Features Using Secure Receiving Mode Y ou may need to prev ent your received fax es from being accessed by unauthorized people. Y ou can turn on Secure R eceiving mode to restrict printing out all of the receiv ed fax es when the machine is unattended.
F AXING 4.30 T o print received documents: 1 Access the Secure R eceive menu b y following steps 1 and 2 on page 4.29. 2 Press the scroll button ( or ) to display “Print” on the bottom line and press Enter . 3 Enter the four-digit passcode and press Enter .
F AXING 4.31 4 Printing Reports Y our machine can print reports containing useful information. The following reports are a vailable: Phone Book List This list shows all of the numbers currently stored in the machine’ s memory as speed dial and group dial numbers.
F AXING 4.32 When the Junk F ax Barrier feature is turned on, incoming fax es from those numbers are block ed. This feature recognize the last 6 digits of the fax number set as a remote fax machine’ s ID. Multi-communication Report This report is printed automatically after sending documents from more than one location.
F AXING 4.33 4 Using Advanced Fax Settings Y our machine has v arious user-selectable setting options for sending or receiving fax es. These options are preset at the factory , but you may need to change them. T o find out how the options are currently set, print the S ystem Data list.
F AXING 4.34 Advanced Fax Setting Options Option Description Send Forw ard Y ou can set the machine to always forward all of the outgoing faxes to a specified destination, in addition to the fax numbers you entered. Select Off to turn this feature off .
F AXING 4.35 4 Stamp RCV Name This option allows the machine to automatically print the page number , and the date and time of the reception at the bottom of each page of a received document. Select Off to turn this feature off . Select On to turn this feature on.
F AXING 4.36 Using the Remote Control Panel (for MFP model only) Using the Remote Control P anel, y ou can create and edit Phone Book entries or update the firm ware program of y our machine on the desktop of your computer . When you install softw are, the R emote Control P anel program is automatically installed.
F AXING 4.37 4 The Phone Book Tab Click the Phone Book tab to create and edit Phone Book entries. When you click Group Dial , the following window opens. Reads the Phone Book entries from the machine to the Remote Control Panel. Downloads the Phone Book entries from the Remote Control Panel to the machine.
F AXING 4.38 The Firmware Update Tab Click the Firmware Update tab to update the firmw are of your machine. This feature should be used b y an authorized technician.

P RINTING ( FOR MFP MODEL ONLY ) 5.2 Printing a Document in Windows The following procedure describes the gener al steps required for printing from various Windows applications. The exact steps for printing a document may v ary depending on the application program y ou are using.
P RINTING ( FOR MFP MODEL ONLY ) 5.3 5 The Layout tab first displa ys. If necessary , select the Orientation option. The Orientation option allows you to select the direction in which information is printed on a page. • Portrait prints across the width of the page, letter style.
P RINTING ( FOR MFP MODEL ONLY ) 5.4 • Normal : Y our machine prints from the first page to the last page. • Reverse All Pages : Y our machine prints from the last page to the first page. • Print Odd Pages : Y our machine prints only the odd pages of the document.
P RINTING ( FOR MFP MODEL ONLY ) 5.5 5 Canceling a Print Job There are two wa ys to cancel a print job: T o stop a print job from the control panel: Press the Clear/Stop button. Y our machine finishes printing the page that is moving through the machine and deletes the rest of the print job .
P RINTING ( FOR MFP MODEL ONLY ) 5.6 Using a Favorite Setting The Favorites option, which is visible on each tab , allows you to save the current properties settings for future use. T o save a F avorites item: 1 Change the settings on each tab , as needed.

Click the Paper tab to access man y paper properties. Property Description Copies Copies allows you to choose the number of copies to be printed.

P RINTING ( FOR MFP MODEL ONLY ) 5.11 5 Printing Multiple Pages on One Sheet of the Paper Y ou can select the number of pages to print on a single sheet of paper . T o print more than one page per sheet, the pages are smaller and arr anged in the order you specified on the sheet.

P RINTING ( FOR MFP MODEL ONLY ) 5.14 Fitting Your Document to a Selected Paper Size Y ou can scale y our print job to an y paper size regardless of the digital document size. This can be useful when y ou want to check the fine details on a small document.
P RINTING ( FOR MFP MODEL ONLY ) 5.15 5 Printing Posters Y ou can print a single-page document onto 4, 9 or 16 sheets of paper , for the purpose of pasting the sheets together to form one poster-sized document. 1 When you change the print settings from y our software application, access the printer’ s Properties.
P RINTING ( FOR MFP MODEL ONLY ) 5.16 4 Click the Paper tab and select the paper source, siz e and type. 5 Click OK and print the document. Y ou can complete the poster by posting the sheets together . Using Watermarks The W atermark option allows you to print text ov er an existing document.

An overla y is text and/or images stored on the computer hard disk drive (HDD) as a special file format that can be printed on any document. Ov erlays are often used to tak e the place of preprinted forms and letterhead paper .
P RINTING ( FOR MFP MODEL ONLY ) 5.20 4 In the Edit Overla ys window , click Create Overlay . 5 In the Create Overla y window , type a name of up to eight characters in the File name box. Select the destination path, if necessary . (The default is C:F ormover).
P RINTING ( FOR MFP MODEL ONLY ) 5.21 5 Using a Page Overlay After an overla y has been created, it is ready to be printed with your document. T o print an overlay with a document: 1 Create or open the document y ou want to print. 2 When you change the print settings from y our software application, access the printer’ s Properties.
P RINTING ( FOR MFP MODEL ONLY ) 5.22 After you select the file, click Open . The file appears on the Overlay List and is av ailable for printing. Select the overla y from the Overlay List bo x. 6 If necessary , click Confirm Page Overlay When Printing .
P RINTING ( FOR MFP MODEL ONLY ) 5.23 5 Deleting a Page Overlay Y ou can delete page ov erlays that you no longer use. 1 In the printer’ s properties window , click the Extras tab. 2 Click Edit in the Overla y section. 3 Select the o verlay you want to delete from the Overla y List box.
P RINTING ( FOR MFP MODEL ONLY ) 5.24 Setting Up the Locally Shared Printer Y ou can connect the machine directly to a selected computer , which is called “host computer , ” on the network. Y our machine can be shared by other users on the network through a Windows 9x, Me, 2000, XP or NT 4.

6 S CANNING (for MFP model only) Scanning with your machine lets you turn pictures and text into digital files on your computer . Then you can fax or e-mail the files, display them on your web site or use them to create projects that you can print software.

M AINTENANCE 7.2 Clearing the Memory Y ou can selectively clear information stored in y our machine’ s memory . 1 Press Menu on the control panel until “ Maintenance” appears on the top line of the displa y .
M AINTENANCE 7.3 7 Adjusting Shading When the scan unit becomes dirty , it can alter the shading v alue. If your copy has black lines or is blurred, adjust the shading setting. 1 Load a sheet of white paper into the ADF . 2 Press Menu on the control panel until “ Maintenance” appears on the top line of the displa y .
M AINTENANCE 7.4 Cleaning the Inside During the printing process, paper , toner and dust particles can accumulate inside the machine. This buildup can cause print quality problems, such as toner specks or smearing. Cleaning the inside of the machine clears or reduces these problems.
M AINTENANCE 7.5 7 Cleaning the Scan Unit K eeping the scan unit clean helps ensure the best possible copies. W e suggest that you clean the scan unit at the start of each day and during the da y , as needed. 1 Slightly dampen a soft lint-free cloth or paper towel with water .
M AINTENANCE 7.6 4 Wipe the roller surface with a soft cloth dampened with water . 5 Carefully wipe the scanning glass with a soft dry cloth. If the glass is very dirt y , first wipe it with a slightly dampened cloth, and then with a dry cloth. Be v ery careful not to scratch the glass surface.
M AINTENANCE 7.7 7 Maintaining the Toner Cartridge Toner Cartridge Storage T o get the most from the toner cartridge, k eep the following guidelines in mind: • Do not remov e the toner cartridge from its package until ready for use. • Do not refill the toner cartridge.
M AINTENANCE 7.8 Redistributing Toner When the toner cartridge is near the end of its life, white streaks or light print occurs. The L CD displays the warning message, “[T oner Low]. ” Y ou can temporarily reestablish the print qualit y by redistributing the remaining toner in the cartridge.
M AINTENANCE 7.9 7 Replacing the Toner Cartridge When the toner eventually runs out, only blank pages print when a print job is sent or when a fax is receiv ed. At this stage, the toner cartridge needs to be replaced. The displa y on the control panel shows the warning message, “[T oner Empty]” and the machine stops printing.
M AINTENANCE 7.10 4 Slide the new toner cartridge in until it locks into place. 5 Close the front cov er . Setting the Notify Toner Option If you hav e set the Notify T oner menu option to “On” , .
M AINTENANCE 7.11 7 Cleaning the Drum If there are streaks or spots on your print, the OPC drum of the cartridge may require cleaning. 1 Before setting the cleaning procedure, mak e sure that paper is loaded in the machine. 2 Press Menu on the control panel until “ Maintenance” appears on the top line of the displa y .

T ROUBLESHOOTING 8.2 Clearing Document Jams When a document jams while it passes through the ADF (Automatic Document F eeder), “[Document Jam]” appears on the display . Input Misfeed 1 R emove the remaining documents from the ADF . 2 Pull the jammed document gently out of the ADF .

T ROUBLESHOOTING 8.7 8 Tips for Avoiding Paper Jams By selecting the correct paper types, most paper jams can be av oided. When a paper jam occurs, follow the steps outlined in page 8.3. • F ollow the procedures on page 1.13 when you load paper . Ensure that the adjustable guides are positioned correctly .
T ROUBLESHOOTING 8.8 Clearing LCD Error Messages Messages appears on the displa y to indicate the control panel to indicate the machine’ s status or errors. Refer to the following table to understand the message’ s meaning and correct the problem, if necessary .
T ROUBLESHOOTING 8.9 8 [Jam 1] or [No Cartridge] The toner cartridge is not installed. Install the toner cartridge. See page 1.11. [Line Busy] The remote person did not answer or the line is already engaged.
T ROUBLESHOOTING 8.10 Operation Not Assigned Y ou are doing in the Add/ Cancel operation, but there is no jobs waiting. Check the display to see if there is any scheduled job . The display should indicate them in Standby mode, for example, Delay F ax.
T ROUBLESHOOTING 8.11 8 Solving Problems The following chart lists some conditions that ma y occur and the recommended solutions. F ollow the suggested solutions until the problem is corrected. If the problem persists, please call for service. Paper Feeding Problems Condition Suggested solutions Paper is jammed during printing.
T ROUBLESHOOTING 8.12 Faxing Problems Condition Suggested solutions The machine is not working, there is no display and the buttons are not working. • Unplug the power cord and plug it in again. • Ensure that there is power to the electrical receptacle.
T ROUBLESHOOTING 8.13 8 Copying Problems Documents are not stored in the memory . There may not be enough memory to store the document. If the display shows a “Memory Full” message, delete any documents you no longer need from the memory and then restore the document.
T ROUBLESHOOTING 8.14 Printing Quality Problems The dirty inside of the machine or improper paper loading ma y reduce the print quality . See the table below to clear the problem. Condition Suggested solutions Light or faded print If a vertical white streak or faded area appears on the page: • The toner supply is low .
T ROUBLESHOOTING 8.15 8 Vertical lines If black vertical streaks appear on the page: • The drum inside the toner cartridge has probably been scratched. Remov e the toner cartridge and install a new one. See “Replacing the T oner Cartridge” on page 7.
T ROUBLESHOOTING 8.16 Background scatter Background scatter results from bits of toner distributed on the printed page. • The paper may be too damp . T ry printing with a different batch of paper . Do not open packages of paper until necessary so that the paper does not absorb too much moisture.
T ROUBLESHOOTING 8.17 8 Wrinkles or creases • Ensure that the paper is loaded properly . • Check the paper type and quality . See “Paper Specification” on page A.5. • T urn the stack of paper over in the paper tr ay . Also try rotating the paper 180° in the tr ay .
T ROUBLESHOOTING 8.18 Character Voids Character v oids are white areas within the parts of characters that should be solid black: • If you are using tr ansparencies, try another type of transparency . Due to the composition of the transparency , some character v oids are normal.
T ROUBLESHOOTING 8.19 8 Printing Problems (for MFP model only) Condition Possible cause Suggested solutions The machine does not print. The machine is not receiving power . Check the power cord connections. Check the power switch and the power source.
T ROUBLESHOOTING 8.20 A print job is extremely slow . The job may be very complex. Reduce the complexity of the page or try adjusting the print quality settings. The maximum print speed of your machine is 17 PPM for Letter-sized paper 16 PPM for A4-sized paper .
T ROUBLESHOOTING 8.21 8 Pages print, but are blank. The toner cartridge is defective or out of toner . Redistribute the toner . if necessary . See page 7.8. If necessary , replace the toner cartridge. The file may have blank pages. Check the file to ensure that it does not contain blank pages.

A.8 Paper Specifications Paper Output Capacity Paper Storage Environment P aper storage environmental conditions directly affect the feed oper ation. Ideally , the machine and paper storage en vironment should be at or near room temperature, and not too dry or humid.
A.9 A extremes, which can cause damage. Planning is important to prev ent damage to large supplies of paper . Unopened paper in sealed reams can remain stable for sev eral months before use. Opened packages of paper hav e more potential for environment damage, especially if they are not wr apped with a moisture-proof barrier .
A.10 Envelopes with Double Side Seams Double side-seams construction has v ertical seams at both ends of the en velope rather than diagonal seams. This st yle may be more likely to wrinkle. Be sure the seam extends all the wa y to the corner of the env elope as illustrated below .

4 Y ou can also use the scroll button ( or ) to move the cursor under the digit you w ant to correct and enter a new number . 4 T o select “AM” or “PM” for 12-hour format, press the or button or any number button. 5 English Using Advanced Fax Settings Y our machine has v arious user-selectable setting options for sending or receiving fax es. These options are preset at the factory , but you may need to change them. T o find out how the options are currently set, print the S ystem Data list.
6 2 Load the documents up to 20 pages face down into the ADF and adjust the document guides to the document siz e. F or detailed guidelines for preparing an original document. 3 Adjust the document resolution, referring to Oper ating Instruction. Sending a Fax Automatically 1 Load the document(s) face down into the ADF .
7 English Confirming Transmission When the last page of your document has been sent successfully , the machine beeps and returns to Standby Mode. When something goes wrong while sending y our fax, an error message appears on the display . For a listing of error messages and their meanings, see Oper ating Instruction.

G ETTING S TARTED 1.8 Attaching Accessories Document Output Support Insert the two tabs on the supplied document output support into the slots on both sides of the paper output tr ay .
G ETTING S TARTED 1.9 1 Installing the Toner Cartridge 1 Open the front cov er . 2 R emove the starter toner cartridge from its bag. Gently roll the cartridge 5 or 6 times to distribute the toner ev enly inside the cartridge. Thoroughly rolling the cartridge will assure the maximum copies per cartridge.
G ETTING S TARTED 1.10 3 Slide the toner cartridge into the machine until it locks into place completely . 4 Close the front cov er . Make sure that the cov er is securely closed.
G ETTING S TARTED 1.11 1 Loading Paper Y ou can load approximately 250 sheets. T o load a stack of Letter-siz ed paper: 1 Pull open the paper tr ay and remove it from the machine. 2 Push down on the pressure plate until it locks into place. 3 F an the edges of the paper stack to separate the pages.
G ETTING S TARTED 1.12 4 Insert the paper stack into the paper tr ay with the side you want to print facing up . N OTE : If you want to load a different size of paper , you need to adjust the paper guides. For details, see page 1.13. 5 P ay attention to the paper limit mark on the left inside w all of the tra y .
G ETTING S TARTED 1.13 1 Changing the Paper Size in the Paper Tray T o load longer sizes of paper , such as Legal-sized paper , you need to adjust the paper guides to extend the paper tr ay . 1 After pressing and unlatching the guide lock, slide the paper length guide out completely to extend the paper tr ay to its full length.
G ETTING S TARTED 1.14 3 Pinching the paper width guide as shown, move it tow ard the stack of paper until it lightly touches the side of the stack. N OTES : • Do not push the paper width guide far enough to cause the materials to warp. • If you do not adjust the paper width guide, it may cause paper jams.
G ETTING S TARTED 1.15 1 Making Connections Plug the telephone line cord into the LINE jack and the other end into the wall jack. If you want to use y our machine for receiving both fax es and voice calls, y ou will need to connect a telephone and/or answering machine to your machine.
G ETTING S TARTED 1.16 N OTE : In the United Kingdom, if a three-wire type (SHUNT -wire, older equipment) telephone or answering machine is connected to the EXT jack on the machine, the external equipment will fail to ring when receiving an incoming call as the machine is designed to operate with the latest technology .
G ETTING S TARTED 1.17 1 Connecting to your computer Plug the USB printer cable into the connector on the back of the printer . Y ou must use a USB 2.0 compliant cable that is no more than 3 m in length.
G ETTING S TARTED 1.18 Turning the Machine On 1 Plug one end of the supplied three-pronged electrical t ype cord into the AC socket on the machine and the other end into a properly grounded AC outlet. 2 Press the power switch to turn the machine on. All of y our fax es will have the date and time printed on them. N OTE : If power to the machine is cut off , you need to reset the correct time and date once the power is restored.

P APER H ANDLING 2.2 Selecting Print Materials Y ou can print on a v ariety of print materials, such as plain paper , envelopes, labels, tr ansparencies and so on. Always use print materials that meet the guidelines for use with this machine. See “Paper Specifications” on page 9.
P APER H ANDLING 2.3 2 Guidelines for Paper and Special Materials When selecting or loading paper , envelopes, or other special material, keep these guidelines in mind: • Always use paper and other materials that conform with the specifications listed under “P aper Specifications” on page 9.
P APER H ANDLING 2.4 - T o avoid fading, do not expose the printed tr ansparencies to prolonged sunlight. • F or labels: - V erify that their adhesive material can toler ate fusing temperature of 200 o C (392 o F) for 0.1 second. - Make sure that there is no exposed adhesiv e material between them.
P APER H ANDLING 2.5 2 Printing to the Front Output Tray (Face down) The front output tr ay collects printed paper face-down in correct order . The tray should be used for most print jobs. Printing to the Rear Output Slot (Face up) Using the rear output slot, paper comes out of the machine face up.
P APER H ANDLING 2.6 T o use the rear output slot: 1 Open the rear cov er by pulling it upward. W ARNING : The fusing area inside the rear part of your machine becomes hot once the machine is turned on. Be careful when you access this area. 2 If you do not w ant to use the rear output slot, close the rear cover .
P APER H ANDLING 2.7 2 Loading Paper in the Paper Tray The paper tray can hold a maximum of 250 sheets of 20 lb plain paper . For faxing and copying, y ou can use A4-, Letter- or Legal- sized paper only . For PC -printing, you can use many different sizes of paper; see page 9.
P APER H ANDLING 2.8 Using the Manual Feeder Use the manual feeder to print transparencies, labels, en velopes or postcards in addition to making quick runs of paper t ypes or sizes that are not currently loaded in the paper tr ay . P ostcards, 3.5 by 5.
P APER H ANDLING 2.9 2 2 Adjust the paper guide to the width of the print material. N OTE : When printing on previously printed paper from the manual feeder , the printed side should be facing down with an uncurled edge to the machine. If you experience problems with paper feed, turn the paper around.
P APER H ANDLING 2.10 Setting the Paper Type and Size for the Manual Feeder After loading paper in the manual feeder , you need to set the correct paper type and siz e using the control panel buttons. C OPYING 3.3 3 Making a Copy 1 Pull the document support all the w ay out. F old out the extender , if necessary . 2 Load the documents up to 50 pages face down into the ADF .
C OPYING 3.4 Setting Copy Options The buttons on the control panel let you make all the basic copy options; contr ast, document type, copy size and number of copies. Set the following options for the current cop y job before pressing Start to make copies.
C OPYING 3.5 3 Original Type The image setting is used to impro ve the copy quality by selecting the document for the current cop y job. T o select the document type, press Original T ype . Each time you press the button, the LED labeled with the selected mode turns on.
C OPYING 3.6 Reduced/Enlarged Copying Using the Reduce/Enlarge button, y ou can reduce or enlarge the size of a copied image from 50% to 200%. T o select from the predefined copy sizes: 1 Press Reduce/Enlarge . The default setting appears on the bottom line of the display .
C OPYING 3.7 3 Changing the Default Settings Copy options, including contr ast, image, copy size and number of copies, can be set to the most frequently used modes. When you copy a document, the default settings are used unless they are changed by using the corresponding buttons on the control panel.
C OPYING 3.8 Setting the Time Out Option Y ou can set the time the machine w aits before it restores the default copy settings, if you do not start copying after changing them on the control panel. 1 Press Menu on the control panel until “ Copy Setup” appears on the top line of the displa y .

F AXING 4.2 Sending a Fax Changing the Fax Setup options 1 Press Menu until “F ax Setup” appears on the top line of the display . The first available menu item, “Ring T o Answer, ” displays on the bottom line. 2 Press the scroll button ( or ) until the menu item you want on the bottom line and press Enter .

F AXING 4.4 Discard Size When receiving a document as long as longer than the paper installed in y our machine, you can set the machine to discard any excess at the bottom of the page. If the received page is outside the margin you set, it will print on two sheets of paper at the actual size.

F AXING 4.6 Adjusting the Document Resolution The default document settings produce good results when setting typical text based documents. However , if you send documents that are of a poor qualit y , or contain photogr aphs, you can adjust the resolution to produce a higher quality fax.

The document is scanned into the memory and tr ansmitted when the current oper ation is finished. In addition, the priorit y transmission interrupts a broadcast oper ation between stations (i.
F AXING 4.26 Polling a Remote Machine P olling is used when one fax machine requests another to send a document. This is useful when the person with the original document to be sent is not in the office. The person who w ants to receive the document calls the machine holding it and requests that the document be sent.
F AXING 4.27 4 T o select “AM” or “PM” for 12-hour format, press the or button or any number button. If you set a time earlier than the current time, y our machine will poll at that time on the following da y . 8 When the remote machine is secured with a 4-digit poll code, enter the correct code and press Enter .

F AXING 4.29 4 Additional Features Using Secure Receiving Mode Y ou may need to prev ent your received fax es from being accessed by unauthorized people. Y ou can turn on Secure R eceiving mode to restrict printing out all of the receiv ed fax es when the machine is unattended.

P RINTING 5.2 Printing a Document in Windows The following procedure describes the gener al steps required for printing from various Windows applications. The exact steps for printing a document may v ary depending on the application program y ou are using.
P RINTING 5.3 5 The Layout tab first displa ys. If necessary , select the Orientation option. The Orientation option allows you to select the direction in which information is printed on a page. • Portrait prints across the width of the page, letter style.
P RINTING 5.4 6 If necessary , you can set the sequence for the pages to print from the Extra tab . Select the print order y ou w ant to use from the Print Order drop-down list. • Normal : Y our machine prints from the first page to the last page. • Reverse All Pages : Y our machine prints from the last page to the first page.
P RINTING 5.5 5 Canceling a Print Job There are two wa ys to cancel a print job: T o stop a print job from the control panel: Press the Clear/Stop button. Y our machine finishes printing the page that is moving through the machine and deletes the rest of the print job .
P RINTING 5.6 Using a Favorite Setting The Favorites option, which is visible on each tab , allows you to save the current properties settings for future use. T o save a F avorites item: 1 Change the settings on each tab , as needed. 2 Enter a name for the item in the Favorites input box.

M AINTENANCE 7 .6 Maintaining the Toner Cartridge Toner Cartridge Storage T o get the most from the toner cartridge, k eep the following guidelines in mind: • Do not remov e the toner cartridge from its package until ready for use. • Do not refill the toner cartridge.
M AINTENANCE 7 .7 7 Redistributing Toner When the toner cartridge is near the end of its life, white streaks or light print occurs. The L CD displays the warning message, “[T oner Low]. ” Y ou can temporarily reestablish the print quality by redistributing the remaining toner in the cartridge.
M AINTENANCE 7 .8 Replacing the Toner Cartridge When the toner eventually runs out, only blank pages print when a print job is sent or when a fax is receiv ed. At this stage, the toner cartridge needs to be replaced. The displa y on the control panel shows the warning message, “[T oner Empty]” and the machine stops printing.
M AINTENANCE 7 .9 7 Setting the Notify Toner Option If you hav e set the Notify T oner menu option to “On” , your machine automatically sends a fax to y our service company or the dealer to notify them that y our machine requires a new toner cartridge when the toner cartridge needs to be replaced.
M AINTENANCE 7 .10 Ignoring the Toner Empty Message When the toner cartridge is empt y , the machine shows a “[T oner Empty]” message and stops printing. Y ou can set the machine to ignore the message when it displa ys and to continue printing the pages.

A .2 Installing an Optional Tray Y ou can increase the paper handling capacity of your machine by installing an optional T ray 2. This tr ay holds 250 sheets of paper . 1 T urn the machine off and unplug all cables from the machine. 2 R emove the packing material from the tr ay and remove the tape fixing the interface cable to the tr ay .
