1 G ETTING S TARTED Thank you for purchasing this multifunctional product. Y our machine provides printing, copying, scanning, and faxing functions! This chapter gives you step-by -step instructions for setting up your machine.
G ETTING S TARTED 1 . 2 Unpacking Remo ve the machine and all accessories from the packing carton. Make sure that the machine has been packed with the following items: Starter Toner Cartridge AC Power Cord * *. The appearance of the power cord may differ according to your country’s specifications.

G ETTING S TARTED 1 . 9 1 Installing the Toner Cartridge 1 Open the front cov er . 2 R emove the starter toner cartridge from its bag. Gently roll the cartridge to distribute the toner . Thoroughly rolling the cartridge will assure the maximum copies per cartridge.
G ETTING S TARTED 1 . 10 4 Close the front cov er . N OTE : When the toner cartridge needs to be replaced, the indicator turns on and the “T oner Empty” message appears on the display .
G ETTING S TARTED 1 . 11 1 Loading Paper The paper tray can hold a maximum of 250 sheets of 20 lb plain paper . For cop ying or faxing, you can use A4-, Letter -, or Legal-sized paper only . F or printing a PC file, y ou can use many different sizes of paper .
G ETTING S TARTED 1 . 12 4 Insert the paper stack into the paper tr ay . If you want to load a different siz ed paper , you need to adjust the paper guides. F or details, see page 1.13. 5 P ay attention to the paper limit mark on the left inside w all of the tra y .
G ETTING S TARTED 1 . 13 1 Changing the Paper Size in the Paper Tray T o load longer sizes of paper , such as Legal-siz ed paper , you need to adjust the paper guides to extend the paper tr ay . 1 Pressing and unlatching the guide lock, slide the paper length guide out completely to extend the paper tr ay to its full length.
G ETTING S TARTED 1 . 14 N OTES : • Do not push the paper width guide far enough to cause the materials to warp. • If you do not adjust the paper width guide, it may cause paper jams. Making Connections 1 Plug the telephone line cord into the LINE jack and the other end into the wall jack.
G ETTING S TARTED 1 . 15 1 If you want to use y our machine for receiving both fax es and voice calls, you will need to connect a telephone and/or answering machine to your machine.
G ETTING S TARTED 1 . 16 2 Connect the USB cable which comes with y our machine. If you want to use a parallel printer cable, only use a IEEE 1284 compliant cable and connect it to the par allel connector on your machine. N OTES : • Y ou only need to connect one of the cables mentioned abo ve.
G ETTING S TARTED 1 . 17 1 Turning the Machine On 1 Plug one end of the supplied three-pronged electrical t ype cord into the AC socket on the machine and the other end into a properly grounded AC outlet. 2 Press the power switch to turn the machine on.
G ETTING S TARTED 1 . 18 Changing the Display Language T o change the language that displa ys on the display of the control panel, follow these steps: 1 Press Menu until “Machine Setup” appears on the top line of the display . 2 Press the scroll button ( or ) until “Language” appears on the bottom line of the displa y .
G ETTING S TARTED 1 . 19 1 Using the Save Modes Power Save Mode The power sav e mode allows your machine to reduce power consumption when it is not in actual use. Y ou can turn this mode on by selecting the length of time for which the machine w aits after a job is printed before it switches to a reduced power state.
G ETTING S TARTED 1 . 20 CCD Power Save Mode The scan lamp under the document glass automatically turns off when it is not in actual use to reduce power consumption and extend the lamp life. The lamp automatically w akes up after some warm-up time when y ou start scanning.
2 I NSTALLING S OFTWARE This chapter gives y ou information for installing the supplied softw are. Y ou must install the software to use your machine as a printer and a scanner .
I NSTALLING S OFTWARE 2 . 2 About the Software Y ou must install softw are using the supplied CD-ROM after y ou have set up y our machine and connected it to your computer .
I NSTALLING S OFTWARE 2 . 3 2 Printer Driver Features Y our printer drivers will support the following standard features: • P aper source selection • P aper size, orientation and media type • number of copies T able below lists a gener al overview of features supported b y your printer driv ers.
I NSTALLING S OFTWARE 2 . 4 System Requirements Before you begin, ensure that y our system meets the minimum requirements. Supported Operating System • Windows 95 OSR2 • Windows 98/Windows 98 SE .
I NSTALLING S OFTWARE 2 . 5 2 Installing the Software in Windows N OTES : • Cancel the “New Hardware F ound” window when your computer boots up. • Make sure that your machine is plugged in and connected to your computer’s par allel port or USB port before installing software .
I NSTALLING S OFTWARE 2 . 6 Stand-alone configuration does not allow you to use any networking features, such as R emote F ax or Remote Scan service. When you select networking , y ou can elect to install it as a Server , a Client or both. The Server option allows y ou to share a local fax modem and/or a scanner ov er a LAN.
I NSTALLING S OFTWARE 2 . 7 2 8 When the installation is complete, click Finish . When your computer does not shut down and restart automatically , you must shut it down manually and restart it before the changes are sa ved. N OTE : When you install the software, the Digital Signature Not Found window appears in Windows 2000 and Windows XP .
I NSTALLING S OFTWARE 2 . 8 4 Check CD-ROM drive and click Browse . Choose x:USB (where x is the driv e letter for the CD-ROM drive) and click Next . 5 Click Next . The USB driv er is installed. 6 When the installation is complete, click Finish . 7 When the language selection window appears, select the appropriate language.
I NSTALLING S OFTWARE 2 . 9 2 Uninstalling the Software Uninstall is required if you are upgrading the software or if your installation fails. Y ou can uninstall all softw are of this machine, using the CD-ROM or uninstall the desired item using the Windows unInstallShield.
I NSTALLING S OFTWARE 2 . 10 Using the CD-ROM Y ou can uninstall all of the MFP driver and the R emote Control P anel with the CD-ROM you hav e used to install them. 1 Insert the supplied CD-ROM into y our CD-ROM drive. The CD-ROM should automatically run and an installation window appears.
3 P APER H ANDLING This chapter introduces y ou to the basics of selecting print materials and loading them into y our machine. This chapter includes: • Selecting Print Materials • Selecting an Ou.
P APER H ANDLING 3 . 2 Selecting Print Materials Always use print materials that meet the guidelines for use with this machine. Using print materials that are not recommended may cause paper jams or print qualit y problems. Size, Input Sources and Capacities Size (mm/in.
P APER H ANDLING 3 . 3 3 Guidelines for Paper and Special Materials When selecting or loading paper , envelopes, or other special materials, keep these guidelines in mind: • Attempting to print on damp , curled, wrinkled, or torn paper can cause paper jams and the poor print qualit y .
P APER H ANDLING 3 . 4 • Make sure that there is no exposed adhesiv e material between labels. Exposed areas can cause labels to peel off during printing, which can cause paper jams. Exposed adhesive can also cause damage to machine components. • Do not load a sheet of labels through the machine more than once.
P APER H ANDLING 3 . 5 3 Printing to the Front Output Tray (Face down) The front output tr ay collects printed paper face-down, in correct order . The tra y should be used for most print jobs. Printing to the Rear Output Slot (Face up) Using the rear output slot, paper comes out of the machine face up.
P APER H ANDLING 3 . 6 To use the rear output slot: 1 Open the rear cov er by pulling it upward. W ARNING : The fusing area at the rear part of the inside of your machine is hot when powered. Be careful not to be burned when you access this area. 2 If you do not w ant to stack the printed pages on the rear output slot, close the rear co ver .
P APER H ANDLING 3 . 7 3 The paper level indicator on the front of the paper tr ay shows the amount of paper currently left in the tr ay . When the tra y is empty , the indicator of the bar is lowered. T o load paper , pull open the paper tr ay and load paper with the print side face down.
P APER H ANDLING 3 . 8 N OTES : • If you experience problems with paper feed, place the paper in the Bypass tray . • Y ou can load up to 150 sheets of previously printed paper . The printed side should be facing up with an uncurled edge at the top side.
P APER H ANDLING 3 . 9 3 For tr ansparencies, hold the tr ansparencies by the edges and avoid touching the print side. Oils from y our fingers that are deposited on them can cause print qualit y problems. N OTE : Make sure to open the rear output slot when you print on transparencies.
P APER H ANDLING 3 . 10 3 Open the rear cov er to use the rear output slot. 4 After printing, close the rear co ver . Setting the Paper Type and Size for the Bypass Tray After loading paper in the Bypass tr ay , you need to set the correct paper type and siz e using the control panel buttons.
4 C OPYING This chapter gives you step-by-step instructions for copying documents. This chapter includes: • Loading Paper for Copying • Making Copies on the Document Glass • Making Copies from t.
C OPYING 4 . 2 Loading Paper for Copying Y ou can copy a document to A4-, Letter - or Legal-sized paper . The instructions for loading print materials are the same whether you are printing, faxing or copying. For further details, see page 1.11 for loading in the paper tr ay and page 3.
C OPYING 4 . 3 4 N OTE : Make sure that no other documents are in the ADF (Automatic Document Feeder). If a document is detected in the ADF , it has priority over the document on the document glass. 3 Close the document cov er . N OTES : • Leaving the cover open while copying may affect the cop y quality and toner consumption.
C OPYING 4 . 4 Making Copies from the Automatic Document Feeder Using the ADF (Automatic Document F eeder), you can load up to 30 documents (75 g/m 2 , 20lb) in one job. When you use the ADF : • Do not load documents smaller than 142 x 148 mm or larger than 216 x 356 mm.
C OPYING 4 . 5 4 2 Make sure that the bottom of the document stack matches the paper size mark ed on the document tra y . 3 Enter the number of copy when y ou make more than two copies, and then press Enter . 4 Customise the copy settings including cop y size, contrast, image by using the control panel buttons.
C OPYING 4 . 6 Setting Copy Options The buttons on the control panel let y ou make all the basic copy options; contr ast, image, copy size and number of copies.
C OPYING 4 . 7 4 Reduced/Enlarged Copy Using the Reduce/Enlarge button, y ou can reduce or enlarge the size of a copied image, from 25% to 400% when y ou copy original documents from the document glass or from 25% to 100% from the ADF . Note that the zoom rate a vailable is different depending on the document loading method.
C OPYING 4 . 8 Using Special Copy Features Y ou can use the following copy features using the Special button on the control panel: • Auto Fit : A utomatically reduces or enlarges the original image to fit on the paper currently loaded in the machine.
C OPYING 4 . 9 4 5 If necessary , customise the copy settings including number of copies, contr ast, image by using the control panel buttons. See “Setting Copy Options” on page 4.6. N OTE : Y ou cannot adjust the copy size using the Reduce/ Enlarge button while the Auto Fit copying is enabled.
C OPYING 4 . 10 Collation Copying The Collation copying feature is a vailable only when y ou load documents in the ADF . 1 Load the documents to be copied in the ADF . 2 Press Special . 3 Press Special or the scroll button ( or ) until “Collation” displays on the bottom line.
C OPYING 4 . 11 4 6 Press Start to begin copying. Y our machine begins scanning the front side. 7 When “Set Backside” displa ys on the bottom line, open the document cover and flip the document o ver .
C OPYING 4 . 12 Poster Copying This special copy mode can be applied when you load document only using the document glass. If a document is detected in the ADF , the P oster copying feature does not work. 1 Load the documents to be copied on the document glass and close the cov er .
C OPYING 4 . 13 4 Changing the Default Settings The copy options, including contr ast, image, copy size and number of copies, can be set to the most frequently used modes. When you cop y a document, the default settings are used unless they are changed by using the corresponding buttons on the control panel.
C OPYING 4 . 14 Setting the Time Out Option Y ou can set the time the machine waits before it restores the default copy settings, if you do not start copying after changing them on the control panel. 1 Press Menu on the control panel until “Cop y Setup” appears on the top line of the displa y .

P RINTING 5 . 2 Printing a Document The following procedure describes the gener al steps required for printing from various Windows applications. The exact steps for printing a document may v ary depending on the application program y ou are using. R efer to your software application’ s Operating Instructions for the exact printing procedure.
P RINTING 5 . 3 5 The Layout tab first displa ys. If necessary , select the Orientation option. The Orientation option allows you to select the direction in which information is printed on a page. • Portrait prints across the width of the page, letter style.
P RINTING 5 . 4 • Reverse All Pages : Y our machine prints all of the pages in reverse. This setting is helpful when y ou are using the rear output slot. • Print Odd Pages : Y our machine prints only the odd pages of the document. • Print Even Pages : Y our machine prints only the even pages of the document.
P RINTING 5 . 5 5 Cancelling a Print Job There are two wa ys to cancel a print job: To stop a print job from the control panel: Press the Clear/Stop button. Y our machine finishes printing the page that is mo ving through the machine and delete the rest of the print job .
P RINTING 5 . 6 Using a Favorite Setting The Favorites option, which is visible on each properties tab , allows you to save the current properties settings for future use. T o save a F avorites item: 1 Change the settings on each tab , as needed. 2 Enter a name for the item in the Favorites input box.
P RINTING 5 . 7 5 Setting Paper Properties Use the following options to set the paper handling needs when you access the printer properties. See page 5.2 for more information about accessing printer properties. Click the Paper tab to access man y paper properties.
P RINTING 5 . 8 Printing Multiple Pages on One Sheet of Paper (N-Up Printing) Y ou can select the number of pages to print on a single sheet of paper . T o print more than one page per sheet, the pages will appear decreased in size and arr anged on the sheet.
P RINTING 5 . 9 5 3 Select the number of pages y ou want to print per sheet (1, 2, 4, 9 or 16) on the Pages per Side drop-down list. 4 Select the page order on the Page Order drop-down list, if necessary . Check Print Page Border to print a border around each page on the sheet.
P RINTING 5 . 10 Printing a Reduced or Enlarged Document Y ou can scale your print job on a page. 1 When you change the print settings from y our software application, access the printer properties. See page 5.2. 2 From the Layout tab , select Reduce/Enlarge on the Type drop-down list.
P RINTING 5 . 11 5 Fitting Your Document to a Selected Paper Size Y ou can scale your print job to an y selected paper size regardless of the digital document siz e. This can be useful when you want to check fine details on a small document. 1 When you change the print settings from y our software application, access the printer properties.
P RINTING 5 . 12 Printing Posters Y ou can print a single-page document onto 4, 9 or 16 sheets of paper , for the purpose of pasting the sheets together to form one poster-size document. 1 When you change the print settings from y our software application, access the printer properties.
P RINTING 5 . 13 5 Specify an ov erlap in millimeters or inches to make it easier to reconstruct the resulting poster . 4 Click the Paper tab and select the paper source, siz e and type. 5 Click OK and print the document. Y ou can complete the poster by reconstructing the results.

P RINTING 5 . 16 Using Overlays What is an Overlay? An overla y is text and/or images stored in the computer hard disk drive (HDD) as a special file format that can be printed on any document. Ov erlays are often used to tak e the place of preprinted forms and letterhead paper .
P RINTING 5 . 17 5 4 In the Edit Overla ys window , click Create Overlay . 5 In the Create Overla y window , type a name of up to eight characters in the File name box. Select the destination path, if necessary . (The default is C:F ormover). 6 Click Save .
P RINTING 5 . 18 Using a Page Overlay After an overla y has been created, it is ready to be printed with your document. T o print an overlay with a document: 1 Create or open the document y ou want to print. 2 When you change the print settings from y our software application, access the printer properties.
P RINTING 5 . 19 5 6 If necessary , click Confirm Page Overlay When Printing . When this box is check ed, a message window appears each time you submit a document for printing, asking you to confirm your wish to print an overla y on y our document. Answering Yes to the window means that the selected overla y will be printed with your document.
P RINTING 5 . 20 Setting Graphic Properties Use the following gr aphic options to adjust the print quality for your specific printing needs. See page 5.2 for more information about accessing printer properties. Click the Graphics tab to displa y the properties shown below .
P RINTING 5 . 21 5 Advanced Options Y ou can set advanced settings by clicking the Advanced Options button. Property Description 3 Darkness Use this option to lighten or darken the image appearance in y our print. • Normal : This setting is for normal documents.
P RINTING 5 . 22 Setting Up the Locally Shared Printer Y ou can connect the machine directly to a selected computer , which is called “host computer , ” on the network. Y our machine can be shared by other users on the network through a Windows 9x, Me, 2000, XP or NT 4.
P RINTING 5 . 23 5 4 Click Start and select Printers from Settings . Double- click your printer name. 5 Select Properties in the Printer menu. 6 Click the Sharing tab and check the Shared As box. Fill in the Shared Name field and then click OK . Setting Up the Client Computer 1 Right-click Start and select Explorer .
P RINTING 5 . 24 5 For Windows NT 4.0, check the Shared box. For Windows 2000, check the Shared As box. For Windows XP , check the Share this printer box. 6 For Windows NT 4.0, fill in the Share Name field and click OK . For Windows 2000/XP , fill in the Shared Name field and click OK .
6 S CANNING Scanning with your machine lets you turn pictures and text into digital files on your computer . Then you can fax or e-mail the files, displa y them on your web site or use them to create projects.
S CANNING 6 . 2 Scanning Basics Y our machine offers a following wa y to begin scanning: • From TW AIN-compliant software: Y ou can use other softw are including Adobe PhotoDelux e and Adobe Photoshop. See page 6.2. N OTES : • T o scan with your machine, you must install the MFP driver .
7 M AINTENANCE This chapter provides information for maintaining y our machine and the toner cartridge. This chapter includes: • Clearing the Memory • Cleaning Your Machine • Maintaining the Ton.
M AINTENANCE 7 . 2 Clearing the Memory Y ou can selectively clear information stored in y our machine’ s memory . 1 Press Menu on the control panel until “Maintenance” appears on the top line of the displa y . 2 Press the scroll button ( or ) until you see “Clear Memory” on the bottom line and press Enter .
M AINTENANCE 7 . 3 7 Cleaning Your Machine T o maintain the print quality , follow the cleaning procedures below each time the toner cartridge is replaced or if print qualit y problems occur . N OTES : • While cleaning the inside of the printer , be careful not to touch the transfer roller (located underneath the toner cartridge).
M AINTENANCE 7 . 4 3 With a dry and lint -free cloth, wipe awa y any dust and spilled toner from the toner cartridge area and the toner cartridge cavity . N OTE : T o prev ent damage to the toner cartridge, do not expose it to light for more than a few minute.
M AINTENANCE 7 . 5 7 Cleaning the Scan Unit K eeping the scan unit clean helps ensure the best possible copies. W e suggest that you clean the scan unit at the start of each day and during the da y , as needed. 1 Slightly dampen a soft lint -free cloth or paper towel with water .
M AINTENANCE 7 . 6 Maintaining the Toner Cartridge Toner cartridge storage T o get the most from the toner cartridge, k eep the following guidelines in mind: • Do not remov e the toner cartridge from its package until ready for use. • Do not refill the toner cartridge.
M AINTENANCE 7 . 7 7 Redistributing Toner When the toner cartridge is near the end of its life, white streaks or light print occurs. The L CD displays the warning message, “T oner Low. ” Y ou can temporarily reestablish the print quality by redistributing the remaining toner in the cartridge.
M AINTENANCE 7 . 8 Replacing the Toner Cartridge When the toner eventually runs out, only blank pages print when a print job is sent or when a fax is receiv ed. At this stage, the toner cartridge needs to be replaced. The displa y shows the warning message, “T oner Empty , ” and the indicator on the control panel turns on.
M AINTENANCE 7 . 9 7 3 Unpack the new toner cartridge and gently shak e it horizontally four or five times to distribute the toner evenly inside the cartridge. Save the bo x and the cover for shipping. 4 Slide the new toner cartridge in until it locks into place.
M AINTENANCE 7 . 10 Setting the Notify Toner Option If you hav e set the Notify T oner menu option to “On” , your machine automatically sends a fax to y our service company or the dealer to notify them that y our machine requires a new toner cartridge when the toner cartridge needs to be replaced.
