INTRODUCTION 1 - 1 1 1 Introduction Using this Guide Thank you for buying a Brother multi-function center (MFC). This MFC is simple t o use, wit h LCD screen instr uctions to guide you through programming your MFC. You can make the most of your MFC by taking a few mi nutes to read this G uide.
1 - 2 INTRODUCTION Fax Test Shee t procedure and registering your produ ct (USA only) After setting your Station ID, please fill in the Test Sheet i ncluded with your MFC and fax it to Brother ’ s Automated Fax Response System as your fir st transmi ssion.
INTRODUCTION 1 - 3 MFC-5200C c ontrol panel overview 1 ON/OFF You c an turn th e MFC on or off. 2 Fax and telephone keys: Redial/Pause Redials the last number you called. It also inserts a pause in auto dial numbers. Receive Mode Use to select how the MFC will handle incoming calls.
1 - 4 INTRODUCTION 4 Navigation keys: Menu/Set Lets you access the Menu to program and store your settings in the M FC. or Press to scroll forward or backward to a menu selection. Also, you can use these keys to do an alphabetical search for the names of stor ed numbers.
INTRODUCTION 1 - 5 Turning th e MFC on and off When the MFC is idle, you can turn it on and of f by pressing the ON/OFF key. In OFF mode, the MFC will send delayed faxes that have been set up and can still receive faxes in FAX ONLY mode. You can even retrieve faxes using remote retrieval if you ar e away from your MFC.
1 - 6 INTRODUCTION About fax machines If you ’ ve never used an MFC before, it mi ght seem a little mysterious. But you ’ ll soon recognize the unusual fax tones on your phone line, and be able to send and r eceive faxes easily.
INTRODUCTION 1 - 7 Fax tones and handshake When so meone is se nding a f ax, th e MFC se nds fa x cal ling t one s (CNG tone s). Thes e are qui et, int ermi ttent beeps ev ery 4-s econd s. You ’ ll hear them af ter you dial a nd pre ss Fax Start , and th ey will co ntinue for about 60 se conds a fte r di aling.
1 - 8 INTRODUCTION ECM (Error Correction Mode) The Error Correction Mode (ECM) i s a way for the MFC to check a fax transmission while it is in progress. ECM tr ansmissions are only possible between machines that both have thi s feature. If they do, you may send and receive fax messages that are continuously being checked by the machine.

1 - 10 INTRODUCTION Connections The external TAD must be plugged i nto the back side of t he MFC, into the jack labeled EXT. Your MFC cannot work properly if you plug the TAD into a wall jack (unless you are using Distinctive Ring). 1 Plug the telephone line cord from the wall jack int o the back side of the MFC, in the jack labeled LINE.
INTRODUCTION 1 - 11 Special Line Co nsiderations Roll Over Phone Lines A roll over phone system is a group of two or mo re separate telephone lines that pass incoming calls to each other if they are busy. The calls are usually passed down or “ rolled over ” to the next available phone line in a preset order.
1 - 12 INTRODUCTION Installing MFC, External Two-Line TAD and Two-Line Telephone When you ar e installing an external two-line telephone answeri ng device (TAD) and a two-line t elephone, your MFC must be isolated on one line at both the wall jack and a t the TAD.
INTRODUCTION 1 - 13 Multi-Line Co nnections (PB X) Most offices use a central telephone system. While it is often relatively simple to connect the machine to a key sys tem or a PBX (Private Branch Exchange), we s uggest that you contact the company that installed your telephone system and ask t hem to connect the MFC for you.
2 - 1 PAPER 2 2 Paper About pa per The print quality of your document can be affected by t he kind of paper you use in the machine. To ensure the b est print quality for the settings you ’ ve c hosen, always set the Paper Type to match t he type of paper you load.

INITIAL SETUP 4 - 2 Setting the Paper Size You can use two s izes of paper for printing you r faxes and copies- letter and legal. When you change the type of paper you load in the MFC, you will need to change the setting for Paper Size at the same time so your MFC can fit an incoming fax on the page.
4 - 3 INITIAL SET UP Setting the Station ID You should store your name or company name and fax an d telephone number to be printed on all fax pages that you send. 1 Press Menu/Set , 1 , 4 . 2 Enter your fax nu mber (up t o 20 digits ). Press Menu/Set .
INITIAL SETUP 4 - 4 Entering te xt When you are setting certain functions, such as t he Station ID, you may need to type text into the MFC. Most number keys have three or four letters printed above them. The keys for 0, # and do not have printed lett ers because they are used for special characters.
4 - 5 INITIAL SET UP Setting the Ring Volume 1 Press Menu/Set , 1 , 5 , 1 . 2 Press or to select (OFF, LOW, MED, or HIGH). Press Menu/Set . 3 Press Stop/Exit . — OR — You can adjust the ring volume when your MFC is idle (not being used). You can turn the ring OFF or you can select the ring volume level.
INITIAL SETUP 4 - 6 Setting the Beeper Volum e You can set the beepe r volume to LOW, MED, HIGH or OFF. The default (original) setting is LOW. When the beeper is on, the MFC beeps every time you press a key or make a m istake and when a fax is being sent or received .
4 - 7 INITIAL SET UP Turning on Automati c Daylight Savings Time You can set the M FC to change automatically for Daylight Savings Time. It will reset itself forward one hour in the Spring and backwar d one hour in the Fal l. 1 Press Menu/Set , 1 , 6 .
SETUP RECEIVE 5 - 1 5 5 Setup Receive Basic receiving oper ations Choosing the Receiv e Mode There are four diff erent Receive Modes for your MFC. You can choose the mode that best suits your need s by pressing Receive Mode repeatedly. * In FAX/TEL mode you must set the Ring Delay and F/T Ring Time.
5 - 2 SE TUP RE CEIV E To select or change your Receive Mode Press Receive Mode repeatedly until your new selection appe ars. After three seconds the LCD shows the date and time, along with your new Receive Mode. Setting the Ring Delay The Ring Delay sets the number of times the MFC rings before it answers.
SETUP RECEIVE 5 - 3 Setting the F/ T Ring Time (FAX/TEL mo de only) If you set the Receive Mode to FAX/TEL, you ’ ll need t o decide how long the MFC will signal you with its special pseudo/double- ring when you have a voice call. (If it ’ s a fax call, the machine print s the fax.
5 - 4 SE TUP RE CEIV E Easy Receive When you use thi s f eatur e, yo u don ’ t have to press Fax Start when you ans wer a fax c all. Se lectin g ON allows the MFC to receive fax cal ls auto mati call y, eve n if you lif t t he hand set of an exten sion or e xterna l phon e.
SETUP RECEIVE 5 - 5 Advanced receiving operati ons Operation from extension telephon es If you answer a fax ca ll on an extension or external telephone in the EXT. jack, you can make your MFC take the call by us ing the Fax Receive Code. Wh en you press the Fax Receive Code 5 1 , the MFC starts to re ceive a fax.
5 - 6 SE TUP RE CEIV E Changing the remote codes Remote Codes might not wor k with some telephone systems. The preset Fax Receive Code is 51. The preset Telephone Answer Code is # 51. 1 Press Menu/Set , 2 , 1 , 4 . 2 Press or to sel ect ON (or OFF ). Press Menu/Set .
SETUP RECEIVE 5 - 7 Polling Polling is the process of retrieving f axes from another fa x machine. You can use y our MFC to ’ poll ’ other machines, or you can have someone poll your MFC. Everyone who is involved in Pol ling needs to set up their fax machines for Polling.
5 - 8 SE TUP RE CEIV E Canceling a scheduled job You can cancel tasks you ’ ve sc heduled, such as a Delayed Fax or Polling Transmit. (See Canceling a job in the memory on page 6-10.) 1 Press Menu/Set , 2 , 6 . Any jobs that are waiting wi ll appear on the LCD.
SETUP RECEIVE 5 - 9 Telephone services Your MFC supports the Distinctive Ring telephone service that some telephone companies offer. Distinctive Ring Brother uses the term ’ Distinctive Ring ’ but different telephone companies have other names for this service such as Sm artRing, RingMaster, Teen-Ring, I ndent-a-Call or Indent- a-Ring.
5 - 10 SETUP RECEIVE Do you have Voice Mail? If you have Voice Mail on the phone line y ou will instal l your new MFC on, there is a strong possibility t hat Voice Mail and the MFC will conflict with each other while receiving incoming calls .
SETUP RECEIVE 5 - 11 ■ The MFC will only ans wer calls to its registered number. ■ The first two rings are silent on the fax machine. This is because the fax must « listen » to the ring pattern (to compare it to the pattern that was ’ registered ’ ).
6 - 1 SETUP SEND 6 6 Setup Se nd Before you begi n Before you can beg in sending faxes, make sure you read all the in structio ns and cautions li sted for pu tting origi nal s in the Automa tic Document Fe eder (ADF).
SETUP SEND 6 - 2 1 Unfold the ADF Document Support. 2 Unfold the ADF Document Output Support Extension. 3 Fan the pages well and stagger them at an angle. Make sure you put the originals face up, top edge first in the ADF until you feel them touch the feed roller.
6 - 3 SETUP SEND Setting the special media lever This is to feed special types of originals ( such as thin paper, thick paper, coated paper or glossy pap er). It will all ow the originals to feed through the ADF without slipping or jamm ing. Use the special media le ver to select the Special position.
SETUP SEND 6 - 4 Faxing from the scanner glass You can use t he sca nner glass to fax pages of a boo k or one page at a time. Originals can be letter or A4 size (8.5 inches to 11.7 inches). 1 Lift the document cover. 2 Using the document guidelines on the left, center the original face down on the scanner glass.
6 - 5 SETUP SEND Basic sending operations Contrast If yo ur o rigina l i s very light or ver y da rk, yo u may want to set t he cont ras t. Use S.LIGHT to send a very li ght document. Use S.DARK to send a very dark document. 1 Place the original face up in the ADF, or face down on t he scanner glass.
SETUP SEND 6 - 6 Fax resolution When you hav e an original in the ADF o r on the scanner g lass you can use the Fax Resolution key to change the setting temporarily (for this fax only). Press Fax Resolution repeatedly until the LCD shows the setting you want.
6 - 7 SETUP SEND Manu al tr ansm iss ion Manual transmission lets you hear the dialing, ringing and f ax- receiving tones while sending a fax. 1 Place the original face up in t he ADF, or face down on the scanner glass. 2 Pick up the handset of the external phone and listen for a dial ton e — OR — Press Hook and listen for a dial tone.
SETUP SEND 6 - 8 Manual and automatic fax redial If y ou ’ re sending a fax manually and the li ne is busy, press Redial/Pause and then press Fax Start to try again. If you want to make a sec ond call to the last number y ou dialed, press Redial/Pause and then press Fax Start to save t ime.
6 - 9 SETUP SEND Real Time Transmission When you are sending a fax, the MFC wil l scan the originals int o the memory before sending. Then, as soon as the phone li ne is free, the MFC will start dialing and sending. If the m emory becomes full, t he MFC will send the origi nal in real time (ev en if REAL TIME TX is se t to OFF ).
SETUP SEND 6 - 10 Checking j ob status Check which jobs are still waiting in the memory to be sent. (If there are no jobs, the LCD shows NO JOB WAITING .) (See Canceling a job in the memory below.) 1 Press Menu/Set , 2 , 6 . 2 If you have more than one job waiting, press or to scroll through the list.
6 - 11 SETUP SEND Advanced s ending operations Composing the electronic Cover Page The Cover Page is created at t he receiving machine. Your Cover Page includes the name stored in the Speed Dial m emory. If you ’ re dialing manually, t he name is left blank.
SETUP SEND 6 - 12 Composing your own comments You can set up two comments of your own. 1 Press Menu/Set , 2 , 2 , 8 . 2 Press or to choose 5 or 6 for your own comment. Press Menu/Set . 3 Use the dial pad to enter your customized comment. Press Menu/Set .
6 - 13 SETUP SEND Cover page for the next fax only This feature does not work without the Station ID. So make sure it has been set. (See Set ting the Station ID on page 4- 3.) If you only want to send a Cover Page with a particular fax, this Cover Page will include t he number of pages in your document.
SETUP SEND 6 - 14 Send a c over page for all f axes This feature does not work without the Station ID. So make sure it has been set. (See Set ting the Station ID on page 4- 3.) You can set the fax machine to se nd a cover page whenever you send a fax.
6 - 15 SETUP SEND Overseas Mode After you send a fax using t his feature, the feat ure will tur n itself off . 1 Place the origi nal face up in the ADF, or face down on the scanner glass. 2 Press Menu/Set , 2 , 2 , 9 . 3 Press or to select ON (or OFF ).
SETUP SEND 6 - 16 Delayed Batch Transm ission (Not available for c olor faxes) Before sending the delayed faxes, your MFC will economize by sorting all the documents in t he memory by destination and scheduled time. All delayed f axes that are scheduled to be sent at the same time to t he same fax number will be sent as one fax.
7 - 1 AUTO DIAL NUMBERS AND DIALING OPTIONS 7 7 Auto Dial numbers and Dialing options Storing numbers for easy dialing You can set up your MFC t o do two types of easy dialing: Speed Dial and Groups for Broadcasting faxes.
AUTO DIAL NUMBERS AND DIALING OPTIONS 7 - 2 Changin g Speed Dial numbers If you try to store a Speed Dial number where a number is already stored, the LCD will show the current name stored there and will ask you to do one of the fol lowing: 1 Press 1 to change the stored num ber — OR — Press 2 to exit without making a change.
7 - 3 AUTO DIAL NUMBERS AND DIALING OPTIONS Setting up Group s for Broadcasting Groups allow you to send the same fax message to many fax num bers by pressing only a few keys ( Search/Speed D ial , # , the two-digit numbe r, and Fax Start ). Fi rst, you ’ ll need to store each fax num ber as a Speed Dial numb er.
AUTO DIAL NUMBERS AND DIALING OPTIONS 7 - 4 Dialing option s Manual diali ng wi th an extern al telephone Manual dialing means pressing all of the digits of the phone number. 1 Pick up the external telephone ’ s handset — OR — Press Hook . 2 When you hear a dial tone, dial the number using the dial pad.
