General information 9 1 d Press a or b to choose Fax/Tel . Press OK . You can see the current se tting on the LCD: e Press Stop/Exit . Volume Settings 1 Ring Volume 1 You can choose from a range of ring volume levels, from High to Off . While the machine is idle, press d or c to adjust the volume level.
Chapter 1 10 Beeper Volume 1 When the beeper is on , the machine will beep when you press a key, make a mistake, or after you send or receive a fax. You can choo se from a rang e of beep er volume levels, from High to Off . a Press Menu . b Press a or b to choose General Setup .
General information 11 1 Setting the Fax Logic (sending and receiving sequence) 1 You can chan ge the proces s of manual fax send or receive. If you often send or receive a fax manually to/from the other party at the end of a conversation, set the Fax Mode to Easy Mode .
12 2 Loading paper and other print media 2 Load only one size of pape r and one type of paper in the paper tr ay at any one time. a Pull the paper tray co mpletely out of the machine. Note If the paper support fla p (1 ) is open, close it, and then close the paper sup port (2).
Loading pa per 13 2 d Fan the stack of pape r well to avoid paper jams and misfeeds. Note Always make sure that the paper is no t curled or wrinkled. e Gently put the pa per into the pape r tray print side down and top edge in first. Check that the paper is flat in the tray.
Chapter 2 14 f Gently adjust the paper side gu ides (1) to fit the paper using both hands. Make sure the p aper side guides touch the sides of the paper.
Loading pa per 15 2 Loading envelopes and postcards 2 About envelopes 2 Use envelopes that weigh b etween 80 to 95 g / m 2 . Some envelopes need margin settings to be set in the application. Make sure you do a test print first before printing many envelop es.
Chapter 2 16 b Put envelopes or p ostcards in the paper tray with the addre ss side down and the leading edge (top of the envelo pes) in first as shown in the illustration. Using both hands, gently press a nd slide the paper side guide s (1) and paper length guide (2) to fit the size of the envelopes or postcards.
Loading pa per 17 2 Printable area 2 The printable area depends on the settings in th e application you are using. Th e figures below show the unpr intable areas o n cut sheet paper and en velopes. The machine can prin t in the shaded areas of cut sheet pa per when the Bo rderless print feature is a vailable and turned on.
Chapter 2 18 Paper settings 2 Paper Type 2 To get the best p rint qu ality, set the machine for the type of paper you ar e using. a Press Menu . b Press a or b to choose General Setup .
Loading pa per 19 2 Acceptable paper and other print media 2 The print quality can be affe cted by the t ype of paper yo u use in the machine. To get the best print qual ity for the se ttings you have chosen, alwa ys set the Paper Type to match the type of paper that is loaded in the tray.
Chapter 2 20 Handling and using print media 2 Store paper in its original packaging and keep it sealed. Keep the paper flat and away from moisture, direct sunlight and heat. Avoid touching the shiny (coated) side of photo paper. L oad photo paper with the shiny side facing down.

23 3 3 How to load documents 3 You can send a fax, make copies, and scan from the ADF (automatic document feeder ) and from the scanner glass. Using the ADF 3 The ADF can ho ld up to 15 pa ges 1 and feeds each sheet individually. Use 90 g / m 2 paper and always fan the ed ges of the pages b efore placing them in the ADF.
Chapter 3 24 IMPORTANT DO NOT leave thick documents on the scanner glass. If you do this, the ADF may jam. d After using the AD F, close the ADF Document Support Flap an d push the upper-left portion of th e ADF Document Support to close it completely.
Loading documents 25 3 IMPORTANT If you are sc anning a book or thick document, DO NOT slam the cover down or press on it. Unscannable area 3 The scannable area depends on the settings in the application you are using . The figures below show u nscannable areas.
26 4 How to send a fax 4 The following steps show how to send a fax. a When you want to send a fax or chang e the settings for sending or receiving faxes, press the ( FAX ). The LCD shows: b Do one of the following to load your document: Place the document face down in the ADF.
Sending a fax 27 4 e Press Mono Start or Color Start . Faxing from the ADF 4 The machine starts scanning the document to be sent . Faxing from the scanner glass 4 If you pressed Mono Start , the machine starts scanning the first page. Go to step f .
Chapter 4 28 Transmission Verification Report 4 You can use the Transmission Verificatio n Report as proo f that you se nt a fax. Th is report lists the send er’s name or fax number, the time and date of t ransmission , duration of transmission, numbe r of pages sent, and whether or n ot the trans mission was successful.
29 5 5 Receive Modes 5 By factory default, the factory setting of Receive Mode is “F ax”. Your machine will automatically receive any faxes that are sent to it. There ar e four receive modes of this machine as below. For more detailed in formation on the receive modes, see Using Receive Mod es uu page 30.
Chapter 5 30 Using Receive Modes 5 1 If the caller wants to send a fax during a call or the caller sends you a fax call, please press Mono Start or Color Start button (under easy mode) on the cont rol.
Receiving a fax 31 5 Receive Mode settings 5 Ring Delay 5 The Ring Delay sets the number of t imes the machine rings before it answers in Fax Auto or Fax/Tel mode. If you have external or extension tele phones on the same line as the machine choose the maximum number of rings.
Chapter 5 32 Fax Detect 5 If Fax Detect is On : 5 Fax Detect is turned On as default. The machine receives a fax call automatically, even if you answer the call. When you se e Receiving on the LCD or when you hear “chirp s” through the hand set you are using, ju st replace the handset.
33 6 6 Voice operations 6 Tone or pulse 6 If you have a Pulse dialling service, but need to send tone si gnals (for example , for telephone banking), follow the instructions below: a Press Hook . b Press # on the machine’s control panel. Any digits dialled afte r this will send tone signals.
Chapter 6 34 Telephone Service 6 The caller ID feature of this machin e lets you use the call er ID subscriber service offered by certain tele phone compan ies.
Telephone and extern al devices 35 6 Advantages of Caller ID 6 For Business 6 All businesses profit from a qu icker response to customer calls. For Home 6 Residential customers can protect themselves from unwanted ca lls. Setup Method 6 a Press Menu .
Chapter 6 36 Connecting an external TAD (telephone answering device) 6 You may choose to connect an extern al answering devi ce. However, when you have an external TAD on the same telephone line as the machine, the TAD answe rs all calls and the machine “listens” for fax calling (CNG) tones.
Telephone and extern al devices 37 6 Recording an outgoing message (OGM) on an external TAD 6 Timing is important in recording this message. a Record 5 secon ds of silenc e at the beginning of your messa ge. (This allows your machine time to listen for the fax CNG tones of automatic transmissions before they stop.
Chapter 6 38 Operation from external and extension telephones 6 If you answer a fax call on an extension o r an external telephon e, you can make your machine take the call by us ing the Remot e Activation Code. When you press th e Remote Activation Code l 51 , the machine starts to receive the fax.
Telephone and extern al devices 39 6 Changing the remote codes 6 If you want to use Remote Activation, you have to turn on the remote codes. The p reset Remote Activation Code is l 51 . Th e preset Remote Deactivation Code is #51 . If you want to, you can rep lace them with yo ur own codes.
40 7 How to dial 7 Manual dialling 7 Press all of the digits of the fax or telephon e number. Speed Dialling 7 a Press ( Speed Dial ). You can also choose Speed Dial by pressing ( FAX ). b Press a or b to choose Search . Press OK . c Do one of the following: Press a or b to choose Alphabetical Order or Numerical Order .
Dialling and stori ng numbers 41 7 Fax Redial 7 If you are sending a fax manuall y and the line is busy, press Hook , Redial/Pause , and then press Mono Start or Color Start to try again. Redial/Paus e only works if you dialled from the control panel.
Chapter 7 42 Caller ID history 7 This feature requir es th e Caller ID subscriber service offered by many local telephone companies. (See Caller ID (Caller IDentification ) (not availab le in certain area) uu page 34.
Dialling and stori ng numbers 43 7 Storing numbers 7 You can set up your machine to do the following types of easy dialling: Speed D ial and Groups for broadcasting fax es. When you dial a Quick Dial number, the LCD shows the number. Note If you lose electrical power, the Quick Dial numbers th at are in the memo ry will not b e lost.
Chapter 7 44 Note How to change the stored name or number: If you want to change a character, press d or c to position the cursor un der the character you wa nt to change, a nd then press Clear .
45 8 8 How to copy 8 The following steps sh ow the basic copy operation. a Make sure you are in copy mode, press ( COPY ). The LCD shows: 1 No. of C opies You can enter th e number of copie s you want by using the dial pad. Note The default s etting is FAX mode.
Chapter 8 46 Paper Options 8 Paper Type 8 If you are copying on a special type of paper, set the machine for the type of paper yo u are using to get the best pr int quality. a Press ( COPY ). b Load your do cument. c Enter the number of copies you want.
47 9 9 Printing a document 9 The machine ca n receive data from your computer and print it. 48 10 Scanning a document 10 There are several ways to scan d ocuments. You can use the SCAN key on the machine or the scanner drivers on your computer. a To use the machine as a scanner, you must install a scanner drive r. If the machine is on a Network, configur e it with a TCP/IP address.

50 A Replacing the ink cartridges A Your machine is equipped with an ink dot counter. The ink dot counter automatically monitors the level of ink in each of the four cartridges. When t he machine detects a n ink cartridge is running o ut of ink, the machine will display a me ssage on th e LCD.
Routine maintenan ce 51 A b Press the lock release lever as shown to release the c artridge indicate d on the LCD. Remove the cartridge from the machine. c Open the new ink c artridge bag for t he color shown on the LCD, and then take out the ink cartridge.
52 f Gently push the b ack of the ink cartr idge marked “PUSH” until it clicks, and then close the ink cartridge cover. g The machine will auto matically reset the ink dot counter. Note • If you replaced an ink cartridge, for example Blac k, the LCD ma y ask you to verify that it was a brand new on e (for example, Did You Change Black ).
Routine maintenan ce 53 A Cleaning and checking the machine A Cleaning the scanner glass A a Unplug the machine from t he electric al socket. b Lift the document cover (1) . Clean the scanner glass ( 2) and the white plastic (3) with a soft lint-free cloth moistened wit h a non-flamma ble glass cleaner.
54 Cleaning the print head A To maintain good print quality, the machine will automati cally clean th e print head when needed. You can start the cleaning process manually if there is a print qu ality problem. Clean the print head if you ge t a horizontal line in the text or graphics, or blan k text on your printed pages.
Routine maintenan ce 55 A i The LCD asks you if you want to start cleaning. Press 1 ( Yes ). The machine starts cleaning th e print head. j After the cleaning proced ure is finished, press Color Start . The machine starts printing th e Print Quality Check Sheet again and repe at the procedure from step f .
56 Packing and shipping the machine A When you transport the machine, use the packing materials that came with your machine. Follow the in structions below to correctly packag e your machi ne. Damage caused to your machine during tran sit may not be covere d by your w arranty.
Routine maintenan ce 57 A e Unplug the machine from the telephone wall socket and take the telephone line cord out of the machine. f Unplug the machine from t he electric al socket. g Using both hands, use th e plastic tabs on both sides of the machine t o lift the scanner cover into the open position.
58 B Error and Maintenance messages B As with any sophisticated office product, er rors may occur and consum able items may need to be replaced. If this happen s, your machine identifies the error and shows an error mess age. The most common erro r and maintena nce messages are shown in the following table.
Troubleshooting 59 B Cannot Detect You in stalled a new ink cartridge too quickly and the ma chine did not d etect it. Take out the new ink cartridge an d re-install it slow ly until it clicks. If you are using non Brother Original ink the machine may not detect the ink cartridge.
60 Ink Absorber Full The ink absorber box or flushing box is full. These compone nts are periodic maintenance items that may require replacement af ter a period of t ime to ensure optimum performanc e from your Brother machine. Be cause these components are periodic mai ntenance items, the replacement is not covered under the warranty.
Troubleshooting 61 B No Caller ID There is no in coming call history. You did not receive calls or you hav e not subscribed to th e Caller ID servi ce from your telephone comp any. If you want to use the Caller ID feature call your tel ephone compa ny.
62 Unable to CleanXX Unable to Init.XX Unable to PrintXX Unable to ScanX X The machine has a mechani cal problem. — OR — A foreign object such as a paper clip or ripped paper i s in the machi ne. Open the scann er cover and remove any foreign objects and pap er scraps from inside the machine.

You can read the steps at your own pa ce by pressing c to see the next step and d to go back a step. Transferring your faxes or Fax Journal report B If the LCD shows: Unable to CleanXX Unable to Init.
64 Document jam B Documents can ja m in the ADF unit i f they are not inserted or fed correctly, or if they are to o long. Follow the steps below to clear a document jam. Document is jammed in the top of the ADF unit B a Take out any paper from the ADF that is not jammed.
Troubleshooting 65 B Printer jam or paper jam B Take out th e jammed pa per depend ing on where it is jamme d in the machine. If the LCD shows Paper Jam follow these steps: IMPORTANT Before you unplu .
66 f Open the Jam Clear Cover (1 ) at the back of the machine. g Pull the jammed paper out of the machine. h Close the J am Clear Cove r. Make sure the cover is closed correct ly. i Using both han ds, use the p lastic tabs on both sides of the machine t o lift the scanner cove r (1) to the o pen positi on.
Troubleshooting 67 B IMPORTANT • If the paper is jammed under the p rint head, unplug the machine from the po wer source, and then move the print head to take out the paper. • If the print head is in the rig ht corner as shown in the illustration , you cannot move it.
68 Troubleshooting B If you think there is a problem with your mach ine, check the chart below and follow the troubleshooting tips. Most problems can be easil y resolved by y ourself. If yo u need addi tional help, t he Brother Solutions Center offers th e latest FAQs and troublesho oting tips.
Troubleshooting 69 B Poor print quality. Check the print quality. (See Checking the print quality uu page 5 4.) Make sure that the Media Type setting in the printer driver or the Paper Ty pe setting in the machine’s menu matches the type of paper you are using.
70 The machine prints dense lines on the page. Check Reverse Order in the Basic tab of the printer driver. The printouts are wrinkled. (Windows ® users) In the printer driver Advanced tab, click Colour Settings , and uncheck Bi-Directional Printin g .
Troubleshooting 71 B Printing Received Faxes Difficulty Suggestions Condensed print and white streaks across the page or the top and bottom of sentences are cut off. You probably had a bad connection, with st atic or interference on the telephone line.
72 Handling Incoming Calls Difficulty Suggestions The machine “hears” a voice as a CNG Tone. If Fax Detect is set to On, your machine is more sensitive to sounds. It may mistakenly interpret certain voices or mu sic on the line as a fax machine calling and respond with fax-receiving tones.
Troubleshooting 73 B Scanning Difficulties Difficulty Suggestions TWAIN or WIA errors appear when starting to scan. (Windows ® ) Make sure the Brother TWAIN/WIA driver is chosen as the primary source. In Presto! PageManager with OCR, click File , Select Source and choose the Brother TWAIN/WIA driver.
74 Network Difficulties Difficulty Suggestions Cannot print over the network. Make sure that your machine is powered on, is online and in the Ready mode. Print a Network Configuration Report ( uu Advanced User’s Guide: Reports ) and check the current Network settings printed in this list.
Troubleshooting 75 B Dial Tone detection B When you se nd a fa x automatically, by default your machine will wait for a fixed amount of time before it starts to dial the number. By changin g the Dial Tone set ting to Detection you can make your machine dial as soon as it detects a dia l tone.
