1 Using This Manual Thank you for purchasing a Brother fax machine (F AX) or multifunction center (MFC). This machine has been designed to be simple to use, with LCD screen prompts to guide you through functions. However , you can use your machine to its fullest potential by taking a few minutes to read this manual.

Damage can result if this is not observed. About F ax Machines If you’re a first-time fax machine user , fax operation might seem a little mysterious.
3 INTRODUCTION When your fax machine is in F AX/TEL (F/T) mode, it answers with a short beep. After this beep, the fax machine listens for CNG tones, and, if heard, it will respond with receiving tones. The fax “handshake” is the time in which the sending machine’ s CNG tones and the receiving machines “chirps” overlap.

2 CHAPTER TWO Installatio n 9 P ac king List Make sure you have the following items: Whenever you transport the machine, use the packing materials that came with your machine and pack the machine correctly .
10 CHAPTER TWO Choosing a Location Place your fax machine on a flat, stable surface, such as a desk. Select a place that is free of vibration and shocks. Locate the machine near a telephone jack and a standard, grounded power outlet. A void placing your machine in a high-traffic area.

12 CHAPTER TWO Attach the P aper Wire Extension and P aper Suppor t 1 Attach the paper wire extension. Paper Wire Extension 2 Insert the paper support to the depth shown, then pull it out until you feel it click into place.
13 INST ALLA TION Install the Printing Car tridge 1 Open the front cover . Front Cover 2 Open the top cover , pressing the blue lever on both sides of the top cover .
14 CHAPTER TWO 3 Remove the stopper from the printing cartridge. Stopper 4 T urn the black spool on the right clock wise to tighten the ribbon as shown. Indented Arro w Black Spool 5 Install the printing cartridge by inserting the indented first and placing the cartridge into its four holders.
15 INST ALLA TION Load P aper The paper cassette can hold about 100 sheets of paper . 1 Open the paper cover . 2 Place up to 100 sheets of paper in the cover . Do not allow the level of paper to pass the maximum paper line on the paper guides. 3 Close the paper cover .
16 CHAPTER TWO Connect the P ower Cor d When you connect the power , the screen displays 01/01 00:00 F AX. NOTICE: 1) This fax must be earthed using a 3-pin plug.
17 INST ALLA TION IMPOR T ANT: The PC interface is a SEL V (Safety Extra Low V oltage) por t as defined in EN41003. It must onl y be connected with a SEL V cir cuit; only the MFL Pro f or Fax cable kit (a vailable in an option pack), satisfies this requirement.
18 CHAPTER TWO Using Extension T elephones It may be that your premises are already wired with parallel extension telephones, or you intend to add extension telephones to your line, in addition to your machine.
19 INST ALLA TION Connecting an External T elephone Answering De vice (T AD) Connections 1 Y ou may connect an external T AD to your machine, as shown below . TAD TAD 2 Set the number of rings to one or two on your external T AD. (The fax machine’ s Ring Delay setting does not apply .
20 CHAPTER TWO 3 End your message by giving your Remote Activation Code for people sending manual faxes. For example: “After the beep, leave a message or send a fax manually by pressing 51.” Please note that some faxes that are sent manually cannot be received automatically because some fax machines do not send a fax tone in manual mode.
21 INST ALLA TION Connecting an External T elephone Y our machine is equipped with a handset that you can use as a regular phone. However , you can also connect a separate telephone to your machine, as shown below . External Telephone Extension Telephone Whenever this external phone (or T AD) is in use, the screen displays EXT .
22 CHAPTER TWO Changing the Ribbon 1 Remove the printing cartridge containing the used ribbon from the machine. (See this chapter “Install the Printing Cartridge”.) Position the printing cartridge (as shown in the illustration) paying special attention to the position of the blue gear .
23 INST ALLA TION 3 Remove the gears and spools from the ends of the cardboard cores. Black Spool Blue Gear White Gear 4 Install the gears and spools into the cardboard cores of the new ribbon. Pay special attention to the position of the ribbon as shown in the illustration.
24 CHAPTER TWO 5 Place the ribbon in the cartridge as shown in the illustration. Make sure the gears and spools are positioned correctly . 25 User -Friendly Pr ogramming W e have designed your fax machine with on-screen programming and a Help key . User-friendly programming helps you take full advantage of all the functions your machine has to offer . Since your programming is done on the LCD, we created step-by-step on-screen prompts to help you program your machine.

4 CHAPTER FOUR Initial Setup 31 Getting Star ted Setting the Dialling Mode (T one/Pulse) Y our machine is initially set to TONE . If you are using a PULSE dial line, you can change the setting to PULSE by following the steps below . 1 Press Menu , 1 , 1 .

35 INITIAL SETUP P ABX and TRANSFER Y our machine is initially set to be connected with PSTN (Public Switched T elephone Network) lines. However many offices use a central telephone system or Private Automatic Branch Exchange (P ABX). Y our fax can be connected to most types of P ABX.
36 CHAPTER FOUR 3 Press Set . 4 Press 1 to change to W inter T ime or Summer T ime–– OR ––Press 2 to exit without changing. Setting the Speaker V olume Y ou can adjust the speaker volume when your machine is onhook (after the machine is onhook dialling–– OR ––after pressing Speaker Phone ).
37 INITIAL SETUP Memory Storage Y our machine is equipped with an internal battery that will keep the date and time information for up to about 15 hours (F AX-930 and F AX-940), about 9 hours (F AX-920 and MFC-925) after power has been cut off. After that time, the date and time will be lost and you will have to re- enter the information.

39 Basic Receiving Operations Select Ans wer Mode Manual ––Y ou must answer all calls yourself. If you hear fax tones, press Start or key 5 1 from an extension phone to begin receiving the fax, then hang up. Fax Only ––The machine automatically answers every call as a fax call.

41 SETUP RECEIVE Setting the Ring Dela y The Ring Delay setting determines the number of times the machine rings before it answers. 1 Press Menu , 2 , 1 . If you have a F AX-920 or MFC-925, go to Step 4. 2 Press Z or X to select RING DELA Y . 3 Press Set .
42 CHAPTER FIVE IMPOR T ANT! This machine does not re-generate ringing conditions to any extension telephones. Any such extension telephones will only ring during the period set on ring delay .
43 SETUP RECEIVE In case Fax Detect does not work, because of a poor phone line connection, just press Start or press the Activation Code 5 1 . 1 Press Menu , 2 , 3 . 2 Use Z or X to select ON , SEMI or OFF . 3 Press Set when the screen displays your selection.
44 CHAPTER FIVE Reception into Memory As soon as the paper cassette becomes empty during fax reception, the screen will display “ CHECK P APER ”; please put some paper in the paper cassette (see chap.
45 SETUP RECEIVE Advanced Receiving Operations Operation from an External or Extension T elephone If you answer a fax call on an external or extension phone, you can make your machine take over by using the Activation Code. When you press the Activation Code 5 1 , the machine starts to receive a fax.
46 CHAPTER FIVE Changing Remote Codes Remote Codes might not work with some telephone systems. The preset Activation Code is 5 1 . The preset Deactivation Code is # 5 1 . If you are always disconnected when accessing your external T AD remotely , try changing the Activation Code from 5 1 to # # # and the Deactivation Code from # 5 1 to 1 1 1 .
47 SETUP RECEIVE Caller ID (Caller IDentification) Caller ID is a telephone service that allows the subscriber to see a display of the caller ’ s phone number as the telephone rings. It is a fast way to screen your calls. Y ou can respond quickly to calls you missed, because Caller IDs are received and stored in your machine’ s memory .
48 CHAPTER FIVE How Does the Caller ID W ork? The Caller ID Appears on the Displa y When Y our T elephone Rings As your telephone rings, the display shows you the caller ’ s phone number . Once you pick up the handset, the caller ’ s ID disappears.
49 SETUP RECEIVE Selecting a Caller ID fr om the Memory f or Call Repl y Y ou can display the caller IDs that are stored in the memory and select the caller you want your machine to dial.
50 CHAPTER FIVE T o Activate Certain Netw ork Services When Using Call Reply It may be desired (in order to activate certain network services), to insert a special prefix to be dialled in front of the Caller ID number when using the Call Reply feature.
51 SETUP RECEIVE Clearing the Caller ID Stored in Memory (Onl y for F AX-930 and F AX-940 E-mail) For the effective use of the memory , it is recommended that you should clear the Caller ID stored into memory by pressing Erase when the display shows the number .
52 CHAPTER FIVE 1 Press Menu , 2 , 7 . The screen displays POLLING:STANDARD SELECT { } & SET 2 Press Z or X to choose ST ANDARD . 3 Press Set . The screen prompts you to enter the fax number you want to poll, and then to press Start . ENTER FAX NO.
53 SETUP RECEIVE Setup Delayed Polling Receive Y ou can set your machine to begin Polling Receive at a later time. 1 Press Menu , 2 , 7 . The screen displays POLLING:STANDARD SELECT { } & SET 2 Press Z or X to choose TIMER . 3 Press Set . 4 The screen prompts you to enter the time you want to begin polling.
54 CHAPTER FIVE 4 If you selected ST ANDARD , the screen prompts you to enter the fax number you want to poll, and then to press Start . ENTER FAX NO. THEN PRESS START • If you selected SECURE , enter a four-digit number and press Set . • If you selected TIMER , enter the time (in 24-hour format) you want to begin polling and press Set .
55 SETUP RECEIVE Setting PC Interface Mode (Onl y for MFC-925 or with Multi-Function Link Pr o f or Fax option) If you connect your machine to your PC, you can receive faxes into your PC. See the Quick Start Guide to set up for Multi-Function Link for Fax.
56 CHAPTER FIVE 3 Enter the number (1-99) of copies you want. 4 Press Cop y . (If you press Set or just wait for 5 seconds before pressing Cop y , the screen then prompts you to select a reduction or enlargement ratio. See “Reducing and Enlar ging Copies”.
Bef ore Y ou Begin ■ Documents must be between 14.8 and 21.6 cm wide, and 15 and 60 cm long. Y our fax machine can only scan an image 20.8 cm wide, regardless of how wide the paper is. ■ Make sure you insert documents face down , top edge first . ■ Adjust the paper guides to fit the width of your document.

59 SETUP SEND Basic Sending Operations Composing an Electronic Cover Page The cover page is generated at the receiving party’ s machine. Y our cover page includes the name stored in the One T ouch or Super T el-Index memory . If you’re dialling manually , the name is left blank.

(Enter 00 to leave the number of pages blank.) If you make a mistake, press Z to back up and re-enter the number of pages.

62 CHAPTER SIX Cover Page Message Y ou can set up two custom comments. Composing Y our Own Comments 1 Press Menu , 3 , 2 . The screen displays: COVERP AGE NOTE . 2 Use Z or X to choose position 5 or 6 for your customized comment. 3 Press Set . 4 Use the dial pad to enter your customized comment.
63 SETUP SEND Resolution When you have a document in the feeder , you can use the Resolution key . Press Resolution continuously until you see your selection on the screen. Standard —suitable for most typed documents. Fine —good for small print; transmits a little slower than standard resolution.
64 CHAPTER SIX Memory T ransmission Y ou can scan a fax into the machine’ s memory to be sent as soon as the scan is complete. This way , you don’t have to wait for the entire fax to be transmitted before you retrieve your original. If you get a MEMOR Y FULL message while scanning the first page of a fax, press Stop to cancel the scan.
65 SETUP SEND 6 Press Set when the screen displays your selection. The screen displays ACCEPTED NEXT 1.YES 2.NO 7 Press 1 if you want to select additional settings. The display returns to the Setup Send menu–– OR ––Press 2 if you are finished choosing settings, and go to Step 8.
66 CHAPTER SIX 6 Press 1 if you want to select additional settings. The display returns to the Setup Send menu–– OR ––Press 2 if you are finished choosing settings and go to Step 7. The screen prompts you to enter the fax number . MEMORY 100% ENTER FAX NO.
67 SETUP SEND Y ou can’t use this feature if there is a document waiting in the feeder (possibly for Delayed T ransmission or Polling T ransmit), or when the timer has been interrupted.
68 CHAPTER SIX 5 Press Set . The screen displays ACCEPTED NEXT 1.YES 2.NO 6 Press 1 if you want to select additional settings. The display returns to the Setup Send menu–– OR ––Press 2 if you are finished choosing settings and go to Step 7. 7 Press Start .
69 SETUP SEND Cancelling a Scheduled Job Y ou can cancel tasks you’ve scheduled such as T imer or Polling T ransmit. 1 Press Menu , 4 . Any waiting jobs appear on the display . If no job is waiting, the screen displays NO JOB W AITING . 4.CANCEL JOB 2 If you have more than two jobs waiting, use Z or X to select the job you want to cancel.
70 CHAPTER SIX Multiple T ransmission Use this feature to send several dif ferent faxes to several destinations at once. For example, you can automatically fax “Document A” to one destination and “Document B” to another destination. This is not to be confused with Broadcasting, which is sending a document to many destinations.
71 Storing Numbers for Easy Dialling Y ou can set up your machine to do three types of easy dialling: One T ouch, Super T el-Index and Groups for Broadcasting of faxes. Storing One T ouch Dial Number s Y ou can store 16 fax/phone numbers that you can dial by pressing one key .
72 CHAPTER SEVEN 6 Press Set . The screen prompts you to select the type of number this is. Use Z or X to select the type you want. FA X a fax only number TEL a telephone (voice) number F/T both a fax and telephone (voice) number 7 Press Set . 8 Return to Step 2 to store another One T ouch dial number— OR — Press Stop to exit.
73 SETUP QUICK-DIAL NUMBERS Assigning Each of the Four Super T el-Inde x Ke ys a Name The key names stored here are always displayed when you use the Super T el-Index feature. Assign a name to each of the four Super T el-Index keys. 1 Press Menu , 6 , 2 .
74 CHAPTER SEVEN 6 Use the dial pad to enter the name (up to 15 characters). Y ou can use the chart of “Entering T ext” in chapter 4 to help you enter letters–– OR ––Press Set and go to Step 7 to store the number without a name. 7 Press Set .
75 SETUP QUICK-DIAL NUMBERS 7 Enter a new name. 8 Press Set . 9 Follow the directions from Step 8 in “Storing Numbers to Each key”. How to use Quic k-Dial Ke ys as Super T el-Index Ke ys Searching for a Name on the LCD Once you have stored names/numbers on each of the keys, they may be displayed alphabetically on LCD.
76 CHAPTER SEVEN Speed-Dialling Each name and number stored to each of the keys will be kept in the memory in stored order , though they will be displayed in alphabetical order on the LCD. (W e recommend that you print out and use the Quick Dial list which shows the stored names/numbers in stored order .
77 SETUP QUICK-DIAL NUMBERS 1 Press Menu , 6 , 4 . The screen displays SELECT QUICKDIAL 2 Select a Quick-Dial key where you wish to store the number . (For example, press Quick-Dial key 2 to use as a Group.) 3 Use the dial pad to enter the group number (for example, press 1 for Group 1).

Making V oice Calls Y ou can use your machine to make voice telephone calls, by dialling manually or by using One T ouch or Super T el-Index memory . Y ou can use the handset or if you have the F AX-930 or F AX-940 E-mail you can use the Speakerphone to make and receive calls.
80 CHAPTER EIGHT One T ouch Dialling 1 Pick up the handset— OR —Press Speaker Phone . 2 When you hear a dial tone, press the Quick-Dial key of the location you want to call.
81 TELEPHONE (VOICE) OPERA TION Mute 1 Press V erify/Mute to put a call on hold. 2 Y ou can put down the handset without disconnecting the call. 3 Pick up the machine’ s handset or press Speaker Phone to release the call from hold.
82 CHAPTER EIGHT 4 Pick up the handset when you hear the other end from the monitor speaker . If you press T el before lifting the handset, the call will be disconnected. (Only for F AX-920 and MFC-925). On the F AX-930, you can now speak to the party at the other end without lifting the handset when you hear the other end from the speaker .
83 9 CHAPTER NINE Remote Fax Options (FAX-920 and MFC-925) This chapter is for Models F AX-920 and MFC-925. If you have model F AX-930 your remote fax options are handled by the Message Manager . Please see chapter 10, Message Manager and chapter 1 1, Message Manager Plus.
84 CHAPTER NINE Setting Fax Storage If you set Fax Storage to ON , you will be able to retrieve fax messages from another location, using Fax Forwarding or Remote Retrieval functions. The screen will indicate when you have a fax stored in memory . 1 Press Menu , 8 , 2 .
85 REMOTE F AX OPTIONS (F AX-920 AND MFC-925) Remote Retrie v al Y ou can call your machine from any touch tone phone (or remote Group 3 fax machine) and use a Remote Access Code and other button presses to retrieve fax messages. Using Y our Remote Access Code 1 Dial your fax machine phone number from a touch tone phone.
86 CHAPTER NINE T urn Fax Storage ON ––Press 6 . T urn Fax Storage OFF ––Press 7 . Only possible if there are no faxes in memory or all faxes have been erased (by using Remote Control 9 6 3 ).
87 REMOTE F AX OPTIONS (F AX-920 AND MFC-925) Retrie ving the Memor y Status List Y ou can retrieve the Memory Status List from a remote fax machine to see if you have any fax messages. 1 Dial your fax machine’ s number . 2 When you hear the beep, immediately enter your Remote Access Code ( 1 5 9 ).
