1 1 CHAPTER ONE Introduction Using This Manual Thank you for purchasing a Brother fa x m a c hine. T his f a x m a c hine has been designed to be simple to use, with LCD screen prompts to guide you through functions. However, you can use your m achine t o its fullest potential by taking a few minutes to read this manual.
2 CHAPTER ONE T est Sheet Pr ocedures (For USA Onl y) After programming your Station ID, please fill out the TEST SHEET included with your fax machine and f ax it to Brother’ s Automated Fax Response System as your f irst transmission. This will verify that your f ax machine is properly installed.
3 INTR ODUCTION When your fax machine answers in F AX/TEL mode, it listens for CNG tones and then responds with recei ving tones. The fax “handshake” is the time in which the sending machine’ s CNG tones and the recei ving machines “chirps” over lap.

9 FAX MA CHINE SETUP AND CONNECTIONS Choosing a Location Place your fax machine on a flat, stable surface, such as a desk. Select a place that is free of vibration and shocks. Locate the fax machine near a telephone jack and a standard, grounded power outlet.
10 CHAPTER TWO Assemb ly Installing the Drum Unit Assembl y (with T oner Car tridge) 1 Unpack the drum unit assembly , including the toner cartridge, and gently rock it from side to side five or six times. T o prevent damage to the drum, do not e xpose it to light for longer than a few minutes.

12 CHAPTER TWO Setting Up the F ax Machine Follo w the instructions belo w to connect the handset, power cord, and telephone line. LINE EXT. 1 Connect the Handset. Connect the curled handset cord to the bottom of the handset and the left side of the fax machine.
13 FAX MA CHINE SETUP AND CONNECTIONS 3 Connect the telephone line. Connect one end of the telephone line cord to the jack labeled LINE on the left side of the fax machine. Connect the other end to a modular wall jack. 4 Attach the wire extensions to the multi-pur pose sheet feeder and to the document guide base.
14 CHAPTER TWO Loading P aper 1 Open the multi-purpose sheet feeder cov er . 2 Fan the paper well. Load the paper , making sure that the print side is to ward the fax machine and the paper le vel is stacked belo w the paper mark. The feeder can hold up to 200 sheets of paper , or up to 10 en velopes.
15 FAX MA CHINE SETUP AND CONNECTIONS Attaching Dust Co ver ■ It is essential to keep the dust co ver on your fax machine to pre vent the dust from entering the print head and causing damage. ■ Using the dust cov er on your fax machine will prolong the life of the drum unit.
16 CHAPTER TWO Manual Feed Slot The multi-purpose sheet feeder also has a manual feed slot on its cov er . Y ou can load paper or en velopes one at a time into this slot. Y ou do not hav e to remov e paper from the multi-purpose sheet feeder . When you use labels or transparencies, be sure to use this slot.
17 FAX MA CHINE SETUP AND CONNECTIONS Connecting an External T elephone Ans wering Device (T AD) Sequence Y ou might choose to connect an additional answering system. When you hav e an exter nal T AD on the same telephone line as the fax mac hine, the T AD answers all calls.
18 CHAPTER TWO Connections The external T AD must be plugged into the left side of the fax machine, into the jack labeled EXT . Y our fax machine cannot wor k properl y if you plug the T AD into a wall jack.
19 FAX MA CHINE SETUP AND CONNECTIONS Connecting an External T elephone Y our fax machine is equipped with a handset that you can use as a re gular phone. Howe ver , you can also connect a separate telephone (or telephone answering de vice) directly to your fax machine.
20 CHAPTER TWO Con ver ting T elephone W all Outlets There are three ways to con vert to an RJ11 receptacle. The first tw o ways may require assistance from the telephone company . Y ou can chang e the wall outlets from one RJ14 jack to two RJ11 jacks.
21 FAX MA CHINE SETUP AND CONNECTIONS 4 Plug one end of the second telephone line cord for your T AD into the L2 jack of the two-line T AD. Plug the other end into the EXT . jack on the left side of the fax machine. Triplex Adapter Two-Line Phone Two-Line External TAD Fax Machine Y ou can keep two-line telephones on other w all outlets as always.
22 CHAPTER TWO If you are installing the fax machine to w ork with a PBX: 1 It is not guaranteed that the unit will operate correctly under all circumstances with a PBX. Any cases of dif ficulty should be repor ted first to the compan y that handles your PBX.
23 User -Friendly Pr ogramming W e hav e designed your fax machine with on-screen programming and a Help ke y . User-friendly programming helps you take full advantage of all the functions your fax machine has to off er . Since your fax programming is done on the LCD, we created step-by-step on- screen prompts to help you program your fax machine.
24 CHAPTER THREE Alternating Displays When you see alternating displays, the LCD sometimes alternates between the currently selected option, and a help message giving brief instructions about how to proceed.

27 Getting Star ted Setting Dialing Mode (T one/Pulse) Y our fax machine comes set to accommodate tone (multi-frequenc y) dialing service. If you hav e pulse (rotary) dialing service, you need to change the dialing mode. 1 Press F unctio n , 1 , 1 . The screen prompts you to select TONE or PULSE.
28 CHAPTER FOUR 2 Enter the last two digits of the year . The screen displays your entr y . 3 Press Set . The scr een prompts you to enter the month. ENTER MONTH:XX 4 Enter two digits for the month (for example , enter 09 for September , or 10 for October).
29 INITIAL SETUP 4 Enter your telephone number (up to 20 digits). If your telephone number and fax number are the same, enter the same number ag ain. The screen displays your entry . 5 Press Set . The screen prompts you to enter your name or your compan y name.
30 CHAPTER FOUR Making corrections If you entered a letter incorrectly and want to change it, press to mov e the cursor after the last correct letter . Then press Clear ; all letters abo ve and to the right of the cursor are deleted. Re-enter the correct text and/or digits.
31 INITIAL SETUP Setting Beeper V olume Y ou can set the beeper to LO W , HIGH or OFF . The default setting is LO W . When the beeper is set to LO W or HIGH, the fax machine beeps e very time you press a ke y or make an error , and at the end of fax sending or recei ving.
32 CHAPTER FOUR Memory Storage In the e vent of a po wer failure, all settings in the INITIAL SETUP , SETUP RECEIVE, SET A UTO DIAL, and REMO TE F AX OPT functions plus the CO VERPG SETUP and CO VERPG MSG (from SETUP SEND) functions are stored permanently .
33 Basic Receiving Operations Select Answer Mode There are four diff erent answer modes for your fax machine. Y ou may choose the mode that best suits your needs by pressing the Mode button repeatedly until you hav e changed the F AX and F AX/TEL lights to the setting you want to use.
34 CHAPTER FIVE Setting Ring Delay The Ring Delay setting determines the number of times the fax machine rings before it answers. If you have extension phones on the same line as the fax machine, keep the Ring Delay default setting of 4 . 1 Press F unctio n , 2 , 1 .
35 SETUP RECEIVE Y ou can let the fax machine pick up and detect if it’ s a fax or voice call. If it’ s a fax call, the fax machine prints the f ax. If it’ s a voice call, the fax machine signals you with a double ring for the length of time you selected in F/T Ring Time.
36 CHAPTER FIVE Printing a Reduced Incoming Document Y ou can always reduce the size of an incoming fax to a f ixed percentage , regardless of the size of the paper (up to legal) in your fax machine. If you choose A UTO, your fax machine chooses the lev el of reduction for you.
37 SETUP RECEIVE Setting P aper Size Y ou can use three sizes of paper for printing your faxes: letter , legal and A4. W hen you change the size of paper you hav e loaded in the fax machine, you will need to change the setting for paper size, so your fax machine will kno w how to f it the incoming fax on the page.
38 CHAPTER FIVE T oner Sa ve Y ou can conserve toner using this feature. W hen you set T oner Sa ve to ON , print appears somew hat lighter . The def ault setting is OFF . 1 Press F unctio n , 2 , 9 . 2 Press or to turn ON (or OFF). 3 Press Set . 4 Press St op to exit.
39 SETUP RECEIVE For FAX/TEL Mode Only When the fax machine is in F AX/TEL mode, it will use the F/T Ring T ime (double ringing) to alert you to pick up a v oice call.
40 CHAPTER FIVE P olling Polling is the process of retrieving f axes from another f ax machine. Y ou can use your fax machine to “poll” other machines, or you can ha ve someone poll your machine. All parties in volved in polling need to set up their f ax machines to accommodate polling.
41 SETUP RECEIVE Setting Up Sequential P olling Receive Y our fax machine can request documents from se veral fax units in a single operation. Afterward, a Sequential Polling Report will be printed. 1 Press F unctio n , 2 , 8 . The screen displays POLLING RX:OFF? SELECT < - - > & SET 2 Press or to select Polling ON.
42 CHAPTER FIVE Canceling a Scheduled Job Y ou can cancel tasks you’ ve scheduled, such as Dela yed Fax or Polling T ransmit. If the fax machine is idle, 1 Press F unctio n , 4 . Any waiting jobs will appear on the display . If no jobs are waiting, the screen displays NO JOB W AITING.
43 SETUP RECEIVE Distinctive Ringing This fax machine feature lets you use the Distincti ve Ringing subscriber service of fered by some telephone companies, which allo ws you to hav e se veral telephone numbers on one phone line. Each phone number has its o wn Distincti ve Ringing pattern, so you’ll kno w which phone number is ringing.
44 CHAPTER FIVE Registering Y our Distinctive Ringing P attern 1 Disconnect the fax machine from any T AD or telephone company V oice Mail. 2 Set the fax machine to MANU AL mode. 3 Press F unctio n , 0 , 1 . The screen displays the current setting of this feature.
45 SETUP RECEIVE Caller ID The Caller ID feature of this fax machine lets you use the Caller ID subscriber service of fered by many local phone companies. This service provides y ou, by means of the screen display , the name or telephone number of your caller as the line rings.
46 CHAPTER FIVE Printing Caller ID List 1 Press F unctio n , 0 , 2 . 2 Press or to select PRINT REPOR T . 3 Press Set . 4 Press Star t . Clearing a Caller ID Stored in Memory For ef fecti v e use of the memory , it is r ecommended that you clear the Caller IDs stored in memory by pressing Clear when the display sho ws the number or name.
47 Bef ore Y ou Begin ■ Documents must be between 5.8 and 8.5 inches wide, and 3.9 and 14.1 inches long. Y our fax machine can scan an image only 8.2 inches wide, regardless of how wide the paper is. ■ Make sure you insert documents face down, top edge first .
48 CHAPTER SIX Fan the paper , then stagger the pages in the document feeder as shown below: Stagger the pages ■ Press Resolution (before you send the fax) to select the resolution for the document you’ re sending. ■ DO NO T use curled, wrinkled, folded or ripped paper , or paper with staples, paper clips, paste or tape attached.
49 SETUP SEND Manual and A utomatic Fax Redial If you’ r e sending a fax manually and the line is busy , after you disconnect the call press Redial/Pause to retry the number . If you’ r e sending a fax automatically and the line is busy , the fax machine will automatically redial up to three times at 5 minute intervals.

51 SETUP SEND Canceling Jobs in Memory Y ou can cancel tasks you’ ve scheduled, such as Delayed Fax, Polling Receiv e, Polling T r ansmit or fax es in memory w aiting to be sent. If the fax machine is idle, 1 Press F unctio n , 4 . Any w aiting jobs appear on the display .
52 CHAPTER SIX Y ou can select a comment to include on your cov er page. 1.COMMENT OFF 2.PLEASE CALL 3.URGENT 4.CONFIDENTIAL Instead of using one of the comments abo ve, you can enter up to two customized messages, each 27 characters long. Use the chart on page 29 to help enter characters.
53 SETUP SEND 8 Enter two digits to indicate the number of pages you are sending. (Enter 0 0 to lea ve the number of pages blank.) If you make a mistak e, press to back up and reenter the number of pages. 9 Press Set . T he screen displays ACCEPTED OTHER SETTINGS? 1.
54 CHAPTER SIX 5 Press Set when the screen displays your selection. The screen displays ACCEPTED OTHER SETTINGS? 1.YES 2.NO 6 Press 1 if you want to select additional settings. The display returns to the SETUP SEND menu— OR —Press 2 to exit if you ar e finished choosing settings.

The display returns to the SETUP SEND menu— OR —Press 2 to exit. Contrast If your document is very light or very dark, you might want to set the contrast accordingly .
56 CHAPTER SIX Ad v anced Sending Operations Overseas Mode After you send a fax using this feature, the feature turns itself of f. 1 Insert document. 2 Press F unctio n , 3 , 5 . The screen displays 5.OVERSEAS MODE 3 Press or to select ON (or OFF). 4 Press Set when the screen displays your selection.
57 SETUP SEND Call Reservation Y ou can send a fax and let the other party kno w that you want to hav e a con v er sa tion after the fax transmission is complete. The other fax machine will ring as if it were recei ving a telephone call; if the other party picks up the handset, your fax machine will ring.
58 CHAPTER SIX Print Sample Call Bac k Message 1 Press F unctio n , 3 , 6 . 2 Press or to select PRINT SAMPLE?. 3 Press Set . 4 Press Star t . Delay ed Fax After you hav e preset the time of day for delayed fax es (in Delayed T imer), you can use this function up to 50 times each day to set up delayed fax es.
59 SETUP SEND Broadcasting Broadcasting is automatically sending the same fax message to multiple f ax numbers. Using the Help/Broadcast ke y , you can include up to 24 One T ouch locations, up to 100.
60 CHAPTER SIX 6 Enter the next fax n umber . Example: Manual dialing, using the dial pad. 7 Press Star t . Y our fax machine will read the document into memory and then start sending faxes to all the n umbers y ou enter ed.
61 SETUP SEND Setting Up P olling T ransmit Polling T ransmit is when you set up your fax machine to wait with a document so another fax machine can retrie ve it. 1 Place the document to be retriev ed in the feeder . 2 Press F unctio n , 3 , 8 . The screen displays POLLED TX:OFF? SELECT < - - > & SET 3 Press or to choose ON.
62 CHAPTER SIX Interrupting Dela yed F ax and P olling T ransmit Jobs Y ou can send a fax or make a copy no w , e ven if you ha ve the fax machine set to send a fax later or to be polled. Ho we ver , you cannot use automatic redial or the Function mode.
63 Storing Number s f or Easy Dialing Y ou can set up your fax machine to do three types of easy dialing: One T ouch, Speed Dial, and Groups for Broadcasting of faxes. Storing One T ouch Dial Numbers Y ou can store 24 fax/phone numbers that you can dial by pressing one ke y .
64 CHAPTER SEVEN 5 Use the dial pad to enter the name (up to 15 characters). Y ou can use the chart on page 29 to help you enter letters— OR —Go to Step 6 to store the number without a name. 6 Press Set . The screen prompts you to select the type of number this is.

66 CHAPTER SEVEN Y ou can include up to 23 One T ouch locations, and up to 100 speed Dial locations. If you broadcast to more than the maximum locations av aila ble , you will be unable to set up transmissions using Dual Access and the Timer . 1 Press F unctio n , 6 , 3 .
Dialing Options Y ou can use your fax machine to make v oice telephone calls by dialing manually , or by using T el-index, One T ouch or Speed Dial memory . Manual Dialing Manual dialing is simply pressing all of the digits of the phone number . 1 Pick up the handset— OR —Press Hook .
68 CHAPTER EIGHT One T ouch Dialing 1 Pick up the handset— OR —Press Hook . 2 When you hear a dial tone, press the One T ouch key of the loca tion you want to call. 3 If you pressed Hook to dial the call, pick up the handset when the other party answers.
69 TELEPHONE OPERA TIONS Dialing Access Codes and Credit Car d Numbers Sometimes you may want to choose from among se veral long distance carriers when you make a call. Rates may v ary depending upon the time and destination. T o take ad vantage of lo w rates, you can store the access codes or long-distance carriers as One T ouch numbers.
70 CHAPTER EIGHT T one/Pulse If you hav e pulse dialing service, but need to send tone signals (f or telephone banking, for example), follo w the directions belo w . If you have touch tone service, you do not need this feature to send tone signals. 1 Lift the handset.
9 CHAPTER NINE R e m o te F a x Opt ion s 71 F ax Forwar ding/ P aging Y ou cannot use Paging and Fax F orwarding at the same time. Y ou cannot use Paging and Fax F orwarding w hen “Fax Stor age” is set to OFF .
72 CHAPTER NINE Pr ogramming Pa ging Number When Paging is selected, your f ax machine dials the pager number y ou’ ve programmed, and dials your Personal Identif ication Number (PIN) when connected, to activ ate your pager and let you kno w you hav e a fax message in the memory .
73 REMO TE F AX OPTIONS Setting F ax Storage If you set Fax Storage to ON , you will be able to retrie ve fax messages from another location, using Fax F orwarding, Paging, or Remote Retrie val functions. The scr een will indicate w hen you ha ve a fax stored in memory .
74 CHAPTER NINE Remote Retrie v al Y ou can call your fax machine from any f ax machine using touch tone and use a Remote Access Code and other button presses to retrie ve f ax messages. Keep the included Remote Contr ol Access Car d in your w allet as an aid.
75 REMO TE F AX OPTIONS Remote Commands Follo w the commands belo w to access features remotely . When you call the fax machine and enter your Remote Access Code (1 5 9 ), the system will signal you with two short beeps to enter a remote control command.
76 CHAPTER NINE Retrieving Memory Status List Y ou can retriev e the Memory Status List from a remote fax machine to see if you hav e any fax messages. 1 Dial your fax machine’ s number . 2 When you hear the beep, immediately enter your Remote Access Code ( 1 5 9 ).
77 REMO TE F AX OPTIONS Changing F ax Forwarding Number Y ou can change the default setting of your fax forwarding number from a remote fax machine. 1 Dial your fax number . 2 When you hear the beep, immediately enter your Remote Access Code ( 1 5 9 ).

79 F ax Settings and Activity Y ou can print the following lists and re ports: 1.XMIT REPORT Choose if you would lik e a T ransmission V erification Report printed after e very fax you send . 2.ACT.REPORT Acti vity Report lists information about the last 50 incoming and outgoing faxes.

82 CHAPTER ELEVEN Making a Single Copy The default resolution for a single copy is A UTO, which you can use for documents containing both text and photographs. Y ou can also select S. Fine and Photo, as needed. 1 Insert the document face do wn in the feeder .
83 MAKING COPIES Reducing and Enlarging Copies 1 Insert pages to be copied face-do wn in the feeder . 2 Press Enlarge or Reduce . 3 Press or to select A UTO, 200%, 150%, 125%, 120%, 100%, 93%, 87%, 75%, or 50%. 4 Press Copy when the screen displays your selection.

86 CHAPTER TWEL VE Installing the Optional Memory Board 1 Unplug the po wer cord from the A C outlet and disconnect the interf ace cable. W ARNING Unplug the power cord before installing (or removing) the memory board. 2 Press down on the top of the rear cover to release the hook, and pull the rear cover out.
