Label Name and Description 9 Start : Initiates a copy, fax, or scan job. Pressing Start processes the job according to the function selected. 10 Cancel : Stops a job, exits a menu, or exits settings.
To select a diff erent mode Press left arrow or right arro w to select the desired mode , and then pr ess OK . To change setting s for a mode 1. After selecting a mode, pre ss the arrow buttons to scroll through the available settings available, an d then press OK to select the settin g you want to change .
If the error message shows an error code, pre ss the Power button to turn off the device, and then turn it on again . In most situations, this action solves the prob lem. If the message persists, your device might ne ed service. For more informat ion, see Solve a problem.

• Do not overload the tray or AD F (some models only). For more information, see Media specif ications. • To prevent jams, poor print quality, and o ther printing problem s, avoid loading t he fol.
3. Close the lid . Load an original in the auto matic document feeder (ADF) NOTE: The ADF is availab le for some models only. You can copy, scan, or fax a one -sided, single- or multip le-page, A4- or letter-size document by pl acing it in the documen t feeder tray.
To load medi a 1. Pull out the tray extender. 2. Insert the media prin t-side down along the right of the main tray. Ma ke sure the stack of media aligns wit h the right and back edges of th e tray, and does not exceed the line markin g in the tray. NOTE: Do not load pape r while the device is prin ting.
Maintain the device This section provide s instructions for keeping the device in top working condition. Perform these maintenance pro cedures as necessary.
Clean the exterior WARNING! Before clea ning the dev ice, turn off th e power and u nplug the power cord from the electrical socket. Use a soft, damp, li nt-free cloth to wipe dust, smudges, and st ains off of the case. The exterior of the device do es not require cleaning.
4. Use the damp clot h to wipe any residue off the rollers or separa tor pad. NOTE: If the residue doe s not come off using distil led water, try using isoprop yl (rubbing) al cohol. 5. Close the cover of the au tomatic document feeder. To clean the plastic strip inside the automatic document feeder 1.
4. Lift the auto matic document feeder mecha nism. 5. Clean the plastic strip with a soft cloth or sponge slightl y moistened with a nonabrasive glass cleaner. CAUTION: Do not use abrasives, acet one, benzene, or carbon tet rachloride on the plastic strip, since they can da mage it.
2P r i n t Most print settings a re automatically handled by the so ftware application. You need to change the setting s manually only when you want to change print qual ity, print on specific types of paper, or use spe cial features. For more information a bout selecting the best print media for your d ocuments, see Select print media.
Print documents (Mac OS X) 1. Load paper in the t ray. For more information, see Load media. 2. From the File menu in your soft ware application, choose Print . 3. Make sure the product you want to use is selected. 4. Change the print set tings for the option provided in the pop-up menus, as appropriate for your proj ect.
4. Choose Paper Ty pe/Quality from the pop-u p menu, and then choose the follo wing settings: • Paper Type: the appropriat e brochure paper type • Quality: Normal or Best NOTE: Click the blue di sclosure triangle next to th e Printer selection to access these options.
5. Select the land scape or horizontal Orientati on option. NOTE: Click the blue disclo sure triangle next to the Printer selection to access these optio ns.
Print photos Do not leave unused photo paper in the input tray. The paper might start to curl, w hich could reduce the quali ty of your printout. Photo paper should be flat befo re printing.
5. If necessary, click the disc losure trian g le next to Color Options . Select any other print sett ings that you want, and then click Print to begin prin ting. 6. Select the approp riate Photo Fix options: • Off: applies no HP Real L ife Technologies to the image.
7. Select the pa per type: a . Click More in the Paper type drop-down lis t. b . Click the desired paper type, an d then click OK . 8. Click OK , and then click Print or OK to begin printing.
Follow the instructions for your operating system. • Print borderless do cuments (Windows) • Print borderless document s (Mac OS X) Print borderless documents (Windows) 1. Load paper in the t ray. For more information, see Load media. 2. On the File menu in your software ap plication, click Print .
Perform two-sided printing (Windows ) 1. Load paper in the tray. For more information, see Load media and Guidelin es for two- sided (duple x) printing. 2. On the File menu in your software application , click Print . 3. Select the Two-side d (Duplex) Printing option in the Printing Sh ortcuts li st.
3 Scan Using the product ’s control panel, you can scan originals a nd send them to a variety of destinations, su ch as a folder or a program on a comput er. You can also scan originals using the HP softwa re provided with the product and TWAIN -compliant or WIA-compliant programs on a com puter.
3. Press right arrow to select what to do wi th the scan, and then p ress OK . 4. Press Start . Edit a scanned document using optical character recognition (OCR) software You can use OCR software to import scanned text into your preferred w ord-processing program for editing.
4 Copy You can produce high-qua lity color and grayscale copies on a variety of paper types and sizes. NOTE: If you are copying a docu ment when a fax arrives, the fax is stor ed in the device memory until the copying finishes. This can reduce the number of fax pages stored in memo ry.
• Lighter/Darker set tings • Resizing origin als to fit on different p aper sizes You can use these settin gs for single copy jobs, or you can save set tings to be used as defaults for future jobs. To change copy setti ngs for a single job 1. Press left arrow or right arrow to navi gate betwee n differen t copy options.
5F a x You can use the device t o send and receive faxes, including colo r faxes. You can schedule faxes to be sent at a later time and set u p speed-dials to send faxes quickly a nd easily to frequ ently used numbers.
TIP: You can also se nd a fax manually from a phone or by using monitor dialing. These features all ow you to control the pace of your diali ng. They are also useful when you want to use a ca lling card to charge the call and you have to respond to tone prompts w hile dialing.
4. If the recipient answers the telephone, you can engage in a conversati on before sending your fa x. NOTE: If a fax machine answers the ca ll, you will hear fax tones from t he receiving fax machine . Proceed to the next step to transmit t he fax. 5.
Send a fax from me mory You can scan a black-and-white fax int o memory and then send the fax from memory. This feature is usefu l if the fax number you are trying to reach i s busy or temporarily unavailab le. The device scan s the originals in to memory and send s them once it is able to connect to the receivin g fax machine.
6. Enter the fax number by using the keypad, press Speed Dial to select a speed dial, or press Redial/Pau se to redial the last number dia led. 7. Press Start . The device scans all pa ges and the scheduled time appe ars on the display. The fax is sent at t he scheduled time.
phone lines. On po or phone lines, ECM increases sending time and phone charges, but sends the data much more rel iably. The default setting is On . Turn ECM off only if it increases phone cha rges substantially, and you can accept poor er quality in exchange for reduced charges.
You can receive faxes m anually from a phone that is: • Directly co nnected to the device (on the 2-EXT port ) • On the same ph one line, but not directl y connected to the device To receive a fax m anually 1. Make sure the devic e is turned on and you have pape r loaded in the main tr ay.
NOTE: If Backup fax is enabled an d you turn off the device, all faxes st ored in memory are deleted, in cluding any unprinted faxes that you might have received while the device was in an error con dition. You must contact the send ers to ask them to resend any unprinted faxes.
NOTE: The HP All-in-One does not support polli ng pass codes. Polling pass codes are a security feature t hat require the receiving fax machine t o provide a pass code to the device it is p olling in order to re ceive the fax.
NOTE: If an incorrect paper size is loaded in the main tray w hen you receive a fax, the fax does not print and an erro r message appears on the display. Lo ad letter, A4, or legal paper, an d then press OK to print the fax. To set the paper size for received faxes from the device contro l panel 1.
Add number s to the junk fax list You can block sp ecific numbers by adding them to the junk fax list. To manually enter a number to block 1. Press Setup . 2. Press right arrow to select Fax Settings , and then press OK . 3. Press right arrow to select Junk Fax Bloc ker , and then press OK .
Receive fax es to your comp uter (Fax to PC an d Fax to Mac) Use Fax to PC a nd Fax to Mac to aut omatica lly receive faxes and sa ve faxes directly to your computer. With Fax to PC and Fax to Mac, you can store digital copies of your faxes easily and also eli minate the hassle of de aling with bulky paper fil es.
Modify Fax to PC or Fax to Ma c settings You can update the Fax to PC settings from your computer at any time from the Fax Settings page in th e Solution Center. You can update the Fax to Mac settings from the HP Setup Assistant . You can turn off Fax to PC or Fax to Mac and disable p rinting faxes from the device con trol panel.

If you use one of the f ollowing, setting the fax speed to a slowe r speed might be required: • An Internet phone service • A PBX system • Fax over Internet Prot ocol (FoIP) • An integr ated services digi tal network (ISDN) service If you experien ce problems sending and receiving fa xes, try using a lower Fax Spee d .
NOTE: If you have questions ab out Internet faxing, cont act your Internet faxing services support depa rtment or your loca l service provi der for further assistance. Use reports You can se t up the device to print error reports an d confirmation re ports automatical ly for each fax you send and receive.
3. Press right arrow to select Fax Confirmation , and then press OK . 4. Press right arrow to select one of the following, and t hen press OK . Off Does not print a fax confirmation rep ort when you send a nd receive faxes successfully. This is the default setting.
• Number of pages • Result (status) of transmi ssion To print the fax log from th e device control panel 1. Press Setup . 2. Press right arrow to s elect Print Report , and then press OK . 3. Press right arrow to s elect Fax Log , and then press OK .
Print a Caller ID History Report Use the followin g procedure to print a list of Caller I D fax numbers. To print a Call er ID History Report 1. Press Setup , select Printe r Report , and then select Caller ID Histo ry Report .
6 Work with ink cartridges To ensure the best print qu ality from the HP All-in-One, you w ill need to perform some simple mainten ance procedures. This sectio n provides guidelines f or handling the ink cartridges, ins tructions for replac ing the ink cartridges, an d aligning and cl eaning the printhead.
• Handle ink cart ridges carefully. Dropping, jarrin g, or rough handling during installa tion can cause temporary printi ng problems. • If you are transp orting the product, do the foll owing to .
Handle the ink cartridges Before you replace or cl ean an ink cartridge, you should know t he part names and how to handle the ink cartridges. 1 Copper-colored contacts 2 Plastic tape with pink pull tab (m ust be removed before installing) 3 Ink nozzles under tape Hold the ink cartridges b y their black plastic sides, with the labe l on top.

If you are repla cing the bla ck ink cartridge, remove the in k cartridge from the slot on the right. 4. Pull the in k cartridge tow a rd you, out of its slot. NOTE: HP provides recycling options for used ink cartridges in many countries/ regions. For more information, see HP inkjet supplies recycling program.
6. Hold the ink cartridge wi th the HP logo on top, and inse rt the new ink cartridge into the empty cartri dge slot. Make sure you push the ink cartrid ge in firmly until it snaps into place. If you are installing the tri-color ink cartridge, slide it into t he left slot.
10. Load the ink cart ridge alignment sheet fa ce down on the scanner glass in th e front right corner with the top of the page to the right, and then p ress OK . For more information, see Load an original on the scan ner glass. The HP All-in-One aligns the ink cartri dges .
3. Selects Tools and then select Align Cartridge . The product prints an i nk cartridge alignment sheet. 4. Place the alignment sheet face down on the scanne r glass. For more in formation, see Load an origina l on the scanner glass. 5. Press OK to scan the a lignment sheet.
To align the ink cartr idges from the HP software 1. Load letter or A4, unused, pl ain white pape r in the input tra y. For more info rmation, see Load media. NOTE: If you have col ored paper loaded in the input tray when you align the ink cartridges, the ali gnment will fail.
To clean the ink cartri dges from the product control pa nel 1. Load letter, A4, or legal unused plain white pap er into the input tray. 2. Press Setup . 3. Select Tools , and then sel ect Clean Ca rtridge . The device prints a page th at you can recycle or discard.
7 Solve a problem The information in Solve a problem suggests solution s to common problems. If your device is not operati ng correctly and those suggest ions did not solve your p roblem, try using one of the f ollowing support services to ob tain assistance.

Check the de vice software insta llation If the device is turn ed off when printi ng, an alert mes sage should ap pear on your compu ter screen; otherwise, the device software might not be in stalled correctly. To resolve this, uninstall th e software completely, and th en reinstall the device softw are.
There is a blank page i n the file Check the file to make sure there is no blank page. Something on the page is missing or in correct Check the ma rgin settings Make sure the ma rgin settings for the document do n ot exceed the printable area of the device.
electromagnetic f ields. Also, it is recommended tha t you use a USB cable that is less than 3 meters (9.8 feet) long to mi nimize the effects of these electromagnetic fie lds. If the above solu tions do not work, the problem m ay be caused by the inability of the application t o interpret print settings pro perly.
The images below show the difference betw een vertical and horizontal st reaking. Horizontal Streaks Vertical streaks NOTE: Streaks on a copied docu ment commonly appear when t he scanner glass or the plastic strip i n the automatic document feeder (ADF) is di rty.
Step 1: Check the print qual ity settings The print quality set tings in the product software m ight not be optimized for t he type of document you a re printing . Follow th ese steps to check these settin gs. If the issue persists , co ntinue to the next sol ution Step 2: Check the Print in Grayscale setting.
Mac OS X 1. From the File menu in your soft ware application, choose Print . 2. Choose Paper Type/Quality from the po p-up menu. 3. In the Color Options area, make sure the Color setting is not set to Grays cale .
Print Quality Diagno stic Report 1. Load regular, wh ite, letter-size or A4 paper 2. On the product control pa nel, press (Setup), select Print Report , select Print Quality , and then press OK . 3. Evaluate the Print Quality Diagnostic Report: a Ink level b Color bars c Large-font text d Alignment pattern a .
b . Color bars: Look at the color bars in the middle of the page. You should see seven color bars. These bars should have sharp edges, should be sol id (not streaked with white o r other colors), and should be uniform i n color throughout.
To prevent problem s causing ragged bars on the PQ Diagnostic Report, try the following sol utions: • Avoid leaving un-ta ped ink cartridges outside of the printer for an extended period of time. F or more information about handli ng ink cartridges, see Handl e the ink cartridges.
Examples of bad large-f ont text The letters are jagged . The letters are smeared . The letters are ragged on one end . d . Alignment pattern: If the color bars and l arge-font text look OK and the ink cartridges are not em pty, look at the alignment pattern directly above the colo r bars.
The lines are jagged. Self-T est Report Follow these ste ps to print, and then evaluate a Diagnostic report. 1. Load regular, whit e, letter-size or A4 paper. 2. On the product control pa nel, press (Setup), select Print Report , select Self- Test , and then press OK .
To evaluate the Di agnostic Page: 1. Look at the color bars in the middle of the page. There should be three color bars and a black bar. All t he bars should have sharp edges. The y should be solid (not streaked with white or ot her colors). They should be uniform in color throughout.

Solution 8: Align the in k cartridge s Align the ink ca rtridges if you see the followi ng in the diagnostic repo rt: • Large-font text: Letters are jagged. • Alignment pattern: Lines are ja gged. For instructions, see Align the ink cartridges. If the issue persists , continue to the next step.
To clean the ink ca rtridge contacts 1. Turn on the device an d open the ink cartridge doo r. The print carriage moves to the far right side of the device. 2. Wait until the prin t carriage is idle and silent, and th en unplug the power cord from the back of the device.
NOTE: Clean the area arou nd the ink nozzles only if you continue to see streaks and smudges on your printed pages after you ha ve already cleaned the ink cartridge s by using the device control panel or th e software you instal led with the HP All-i n-One.

Media is not coming out c orrectly • Make sure the out put tray extension is extended ; otherwise, printed pa ges may fall off the device. • Remove excess media from t he output tray. There is a limit t o the number of sheets the tray can hold. Pages are sk ewing • Make sure the med ia loaded in the trays is aligned to the paper guides.
• Size is reduced • Copy quali ty is poor • Copy defects are apparent • The device print s half a page, then ejects the pa per • Paper mismatch No copy ca me out • Check the power Make sure that the po wer cord is securely connected, and the d evice turned on.
Size is reduced • The reduce/enlarge or other copy feature might have been set from the devi ce control panel to reduce the scanned image. Check the sett ings for the copy job to m ake sure that they are for no rmal size. • The HP softwar e settings might be set to reduce the scan ned image.
• Large, black typ efaces look splotchy (not smo oth) The default enhancem ent setting might not be suitable fo r the job. Check the set ting and change it to e nhance text or photographs, if neede d. For more information, see Change copy setti ngs.
Scan takes to o long • Check the settings ◦ If you set the resolu tion too high, the scan job takes lo nger and results in larger files. To obtai n good resu lts when scanni ng or copy ing, do not use a re solution that is highe r than neede d. You can lower the resolution to sca n more quickly.
Text cannot b e edited • Check the setting s ◦ Make sure the HP sof tware (or any additional OCR sof tware) is properly installed. ◦ When you scan the ori ginal, make sure that you select a document type or save the scan in a format t hat creates editable, searcha ble text.
Text or images on the back of a two -sided original appear in the scan Two-sided origi nals can "bleed" text or images f rom the back side to the scan if th e originals are prin ted on media that is too thin or too transparent. The scanned image is skewed (crooked) The original mi ght have been placed incorrectly.
• Black dots or streaks ◦ Ink, glue, correct ion fluid, or an unwanted subst ance might be on the scanner glass, the scanner gla ss might be dirty or scratched, or the lid backing might be dirty. Try cleaning th e scanner glass and lid backing. See Maintain the device for more information .
• The "Dial To ne Detection" test f ailed • The "Fax Line C ondition" test failed The "Fax Hardware Test" fa iled Solution: • Turn off the device by using the Power button located on the device control panel and then unplug the powe r cord from the back of the device.
• If you are using a pho ne splitter, this can cause faxing problems. (A splitter is a two-cord connector that plu gs into a telephone wall jack.) Try removi ng the splitter and connecting the de vice directly to the telephone wall jack.
The "Using Correct Type of Phone Cord with Fax" test failed Solution: • Make sure you used the phone cord supplied in the box with th e device to connect to the tel ephone wall jack.
The "Dial Tone Detection" tes t failed Solution: • Other equipmen t, which uses the same phone line as the device, mig ht be causing the test to fail . To find out if other equipm ent is causing a problem, disconnect everything from the phone line, and th en run the test again .
The "Fax Line C ondition" test failed Solution: • Make sure you connect th e device to an analog phone li ne or you will not be able to send or receive f axes. To check if your phone l ine is digital, connect a regular analog phone to the line and listen for a dial ton e.
example, you cannot use the device for faxing if an exte nsion phone is off the hook, or if you are using a compute r dial-up modem to send e-mail or access t he Internet. The device is ha ving problems sending and recei ving faxes Solution: Make sure the device is turned on.
• Other equip ment, which uses the same phone line as the device, might be i n use. For example, you canno t use the device for faxing if an e xtension phone is off the hook, or i f you are us ing a comput er dial-up mo dem to send an e-mail or ac cess the Internet.
The device is having problems sending a manual fax Solution: NOTE: This possible solut ion applies only in the co untries/regions that receive a 2-wire phone cord i n the box with the device, includin.
• If you have a voice mail service at the sam e phone number you us e for fax calls, you must receive faxes manu ally, not automatically. Th is means that you must be available to respond in person to in coming fax calls.
• If the device sha res the same phone line with o ther types of phone equipm ent, such as an answering machine, a computer dial -up modem, or a multi-port switch box, the fax signal level might be reduced. The signal level can al so be reduced if you use a sp litter or connect extra cables to exte nd the le ngth of your phon e.
Fax tones are rec orded on my answering m achine Solution: • When you have a n answering machine on the same phone line you use for fax calls, try connect ing the answering machine dire ctly to the device as described in Case I: Sh ared voice/fax line with answ ering machine.
The computer canno t receive faxes (Fax to PC and Fax to Mac) Cause: The HP Di gital Imaging monitor is turn ed off (Windows). Solution: Check the taskbar and ensu re that the HP Digital Imag ing monitor is turned on at all times. Cause: The comput er selected to receive faxes is turned of f.
If the installati on program cannot discover the d evice, print the network confi guration page, and enter the IP address man ually in the installation program.

Test fax setup You can test your fax setup to check the status of the device and to make sure it is set up properly for faxing. Perform this test after you have complete d setting up the d evice for faxing.

3. Wait until the print carriage is idle and silent , and then lightly press down on the ink cartridge to release it. 4. Pull the ink cartridge toward you, out of its slot.
